We’re looking for a highly organized Administrative Assistant/HR Coordinator to join our team. In this dynamic role you’ll take ownership of front office operations while supporting key HR and administrative functions. This position is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in delivering a high level of support.

Requirements

  • 3 years minimum experience as administrative assistant and/or office assistant.
  • High School Diploma required.
  • Experience with Microsoft Office Suite, including Outlook/Scheduling; Power Point and Excel; online travel and expense reporting tools.
  • IT savvy and interest.
  • Ability to work independently, collaboratively, and multi-tasks well.
  • Has a positive, professional demeanor.
  • Willingness to learn.

Nice To Haves

  • Professional administrative certification highly desirable.

Responsibilities

  • Scheduling group team meetings.
  • Assisting with report preparation and/or presentations.
  • Liaison to IT function for site-based IT needs, ensuring IT, AV and Telecom services are available; troubleshooting, equipment ordering for new hires, etc.; learning and training associates on how to use the technology on desk and in conference rooms.
  • Answering main phone line and redirecting calls as appropriate.
  • Handling distribution of incoming mail and deliveries to site mailroom.
  • Managing all front desk duties including greeting and assisting visitors, vendors, and staff; assigning building access to contractors, visitors as needed.
  • Maintaining the reception area, conference rooms, kitchens, and other office common areas, including the coordination of the installation, repair, and/or maintenance of office equipment, appliances, and other office facilities.
  • Monitoring and maintaining supply inventories for the office, mail room, and pantry/kitchen including ordering, receiving, and organization.
  • Coordinating all USPS/Courier mail, incoming and outgoing.
  • Assisting with meeting planning to include meeting room scheduling, A/V needs, and catering.
  • Coordinating ground transportation and other visitor arrangements as needed.
  • Performing general secretarial, clerical, and administrative support, with tasks such as copying, printing (in-house/outsourcing), binding, filing, office equipment maintenance, office access management, visitor workspace arrangements, office directory.
  • Answering questions related to standard policies, hiring process, benefits, etc., and referring more complex questions to appropriate HR staff or management.
  • Assisting the recruitment process by opening requisitions, posting positions, scheduling interviews and organizing hiring events, and overseeing all pre-employment processes.
  • Assisting with recognition/awards/events.
  • Assisting with benefit administration, tracking and open enrollment.
  • Establishing credibility throughout the organization in order to be a trusted HR representative.
  • Providing administrative support to VP, Sourcing and Supply Chain.
