About The Position

The Operations Assistant serves as a key administrative partner within the center, combining strong organizational and office management skills with a passion for supporting children and families in a healthcare and ABA setting. This role is ideal for individuals who enjoy working in a dynamic, client-facing environment and take pride in creating a welcoming and well-organized center. Successful candidates will be responsible for a variety of administrative and operational duties that help ensure the center runs smoothly and efficiently each day. They will serve as the first point of contact for families, clients, prospective clients, and staff, making strong communication and relationship-building skills essential. In this role, the Operations Assistant plays a critical part in shaping the first impression of the center and fostering a positive, supportive experience for everyone who walks through the door.

Requirements

  • At least two years experience working in a health care setting, Applied Behavior Analysis preferred
  • Strong understanding and comfort in using Microsoft Product Suite – Outlook, Word, Excel
  • Ability to bend, kneel, crouch, and spend time on your feet as well as an ability to lift items up to 25 lbs on occasion.

Nice To Haves

  • Bilingual in English and Spanish preferred
  • Valid CPR certification preferred
  • Knowledge of general health insurance billing preferred

Responsibilities

  • Coordinating and processing client referrals
  • Trouble shooting client authorizations
  • Updating and maintaining client database and scheduling appointments
  • Conducting daily audits to ensure data integrity
  • Assist with onboarding new team members
  • Collaborate with Learning and Development department to deliver annual and ongoing staff training
  • Follows all policies and procedures, including but not limited to, HIPAA, confidentially and mandated reporting standards as set by the clinical team.
