About The Position

As the Administrative Assistant, you will be an integral part of the team supporting the Sr. Director and multiple individuals in a fast-paced organization. This role requires an energetic self-starter with outstanding interpersonal, verbal and written communication skills who has passion for the work they do and has a proven track record of delivering exceptional standard of excellence. A high quality of organizational, planning, and problem-solving skills is required, coupled with a sense of urgency, to enable the ability to prioritize and manage many tasks simultaneously and independently.

Requirements

  • High school diploma, GED, or equivalent certificate of competency and four years of specific Administrative Assistant experience or an associate’s degree and 2 years Administrative Assistant related work experience
  • Qualified candidates must be legally authorized to work in the United States without current or future sponsorship

Responsibilities

  • Manages and responds to communications, prioritizes what needs attention, and ensures everything is handled quickly and accurately
  • Administrative support duties, such as calendar management, formatting documents and presentations, mail distribution, answering & returning phone & email inquiries, maintaining files and ordering supplies
  • Manage all aspects of domestic and international travel coordination, including itinerary planning, booking flights, accommodations, ground transportation, and ensuring alignment with company policies and traveler preferences.
  • Create and reconcile expense reports and department pro-card expenses
  • Liaise and coordinate meeting logistics for internal team meetings as well as for outside companies, guests, and visitors
  • Processes all purchase orders and invoices, submits new vendor set-up forms/agreements when needed, archiving invoice data, monitors slow approvals and researches and rectifies errors when uncovered
  • Manage, process and track program charge backs
  • Assist with all department communications ensuring proper approvals are completed prior to distribution
  • Assist with on & offboarding contractors/employees, maintaining contractor database, obtaining safety and security paperwork
  • Run reports out of financial system (SAP)
  • Assist with preparation of presentations and management reporting
  • Special projects as assigned
