About The Position

San Diego seeking a dependable and detail-oriented Administrative Assistant / Bookkeeping Assistant to support daily office operations, rent collection processing, invoice management, and coordination with an off-site accounting service. This position combines administrative office support with light bookkeeping and property management assistance. The ideal candidate is organized, professional, comfortable working with accounting and property management software, and able to manage multiple tasks efficiently. The company currently utilizes CINC systems, RentVine property management software, and QuickBooks Online.

Requirements

  • Administrative office experience preferred
  • Basic bookkeeping or accounting support experience preferred
  • Experience with RentVine, QuickBooks Online, or similar accounting/property management software preferred
  • Experience using CINC systems is a plus
  • Strong attention to detail and organizational skills
  • Ability to multitask and prioritize responsibilities
  • Professional communication and customer service skills
  • Proficiency in Microsoft Office and general computer systems

Responsibilities

  • Answer incoming phone calls and greet visitors
  • Assist staff with general office support tasks
  • File, scan, photocopy, and organize office documents
  • Prepare and post occasional notices
  • Maintain organized office and digital filing systems
  • Handle incoming and outgoing mail
  • Collect and process rent payments
  • Upload rent collections into RentVine property management software
  • Upload vendor invoices to third-party accounting service
  • Code invoices to appropriate accounts and properties
  • Review accounting software to verify invoices have not already been paid or duplicated
  • Contact vendors to confirm balances and resolve discrepancies
  • Maintain accurate financial and invoice records
  • Coordinate with off-site accounting/bookkeeping service
  • Assist with QuickBooks Online records and invoice tracking as needed
  • Assist with tenant and vendor communication
  • Maintain tenant and vendor records
  • Support general property management administrative functions
  • Utilize CINC systems and property management software for daily operations
