About The Position

The Executive Division of the Office of Enforcement in Baton Rouge, LA, coordinates and administers the various activities of the Office of Enforcement. The Executive Director's Office staff is primarily responsible for overseeing statutory responsibilities and regulations, professional service contracts, budget, personnel, information, safety, and emergency matters. This Administrative Assistant 6 position is located within the Executive Division and reports to the Executive Director. The role serves as the confidential executive assistant to the Executive Director, providing administrative support, assistance, and coordination for research, documentation, and oversight of various projects for the Office of Enforcement. Duties are assigned by the Executive Director, and this position may exercise influence and/or authority on office management, personnel matters, and procedures related to the Divisions of the Office of Enforcement upon the Executive Director's request. An ideal candidate should possess competencies in accepting direction, demonstrating accountability, and making accurate judgments.

Nice To Haves

  • Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. The maximum substitution allowed is 120 hours, which substitutes for a maximum of four years of experience.

Responsibilities

  • Oversees the professional presentation and function of the Office of Enforcement's Executive Division.
  • Reviews and prioritizes all written and verbal correspondence, and tracks their processing.
  • Coordinates the scheduling of important appointments for the Executive Director, exercising independent judgment.
  • Prepares materials for the Executive Director for committee hearings, meetings, appointments, and conferences, including independent research and coordination with other staff.
  • Works directly with legislators and congressional delegation requesting meetings or information.
  • Works closely with DENR HR and C&E HR on personnel matters.
  • Serves as Primary Time Administrator and Secondary Time Administrator for the Orders and Inspections Divisions.
  • Manages and staffs OENF's main reception desk, addressing all issues related to its duties and responsibilities.
  • Properly processes a large volume of incoming mail, including logging and delivering live checks daily.
  • Coordinates and directs special projects and prepares various reports for the Executive Director.
  • Collects, compiles, and distributes information to legislative committees and the Governor's Office.
  • Maintains property control records and coordinates annual inventory for the Executive Division.
  • Manages equipment, supplies, and all purchasing needs of the Executive Division (P-Card).
  • Creates requisitions before forwarding for payment (LaGov).
  • Coordinates with the Business Analytics Specialist in reviewing, monitoring, and approving the monthly Transaction Register.
  • Provides supervision and training of student employees, interns, and other administrative staff in the daily function of the Office of Enforcement's main reception desk.
