About The Position

The Office of Juvenile Justice is seeking a highly organized, efficient, and proactive Administrative Assistant 5 to support the dynamic work of our Human Resources Department. Reporting directly to the HR Director, this role is perfect for someone who thrives in a fast-paced environment, manages multiple responsibilities with confidence, and brings professionalism to every interaction. As a key member of the HR team, you’ll serve as a central point of communication for staff, applicants, and stakeholders while helping keep our operations running smoothly behind the scenes. Requirements

  • Four years of experience in administrative services.
  • Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.
  • The incumbent of this position must not have been convicted or pled nolo contendere to a crime listed in R.S. 15:587.1 (c)
  • Applicants must authorize the HR Office of Juvenile Justice to contact prior employers to check references under the Prison Rape Elimination Act (PREA) to be considered for employment.
  • Must take and pass a drug screening test.
  • Must possess a valid Louisiana Driver's License.
  • Must clear a background check.

Responsibilities

  • Manages daily administrative tasks — Answers calls, communicates with staff and stakeholders, processes paperwork, and handles mail.
  • Maintains records & documentation — Organizes files, prepares reports, and manages employment and public records requests.
  • Serves as primary timekeeper — Processes CATS entries, paper timesheets, payroll reports, and secures payroll records.
  • Handles COPE & risk testing — Manages COPE testing requests and administers risk assessment testing.
  • Maintains file room operations — Organizes, secures, and keeps personnel files and HR work areas clean and functional.
  • Supports special projects — Assists leadership, coordinates screenings, and completes delegated assignments.
  • Handles purchasing tasks — Prepares 156-Bs, codes expenses, and maintains purchasing documentation.
