About The Position

The Department of Chemistry at the University of Nevada, Reno is seeking applications for an Administrative Assistant 3. The position will provide administrative support for the teaching and research activities of the Department of Chemistry’s faculty, staff and students. This position reports directly to the Business Manager for the Department of Chemistry.

Requirements

  • Graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities.
  • OR One (1) year of experience as an Administrative Assistant II in Nevada State service.
  • OR An equivalent combination of education and experience as described above.

Nice To Haves

  • Knowledge of college computer and data systems, including but not limited to, Microsoft Office Suites, Teams and/or other Virtual platform systems, Workday, PeopleSoft, as well as general office equipment and operations.
  • Ability to analyze, prepare and generate report/spreadsheets in a timely and efficient manner.
  • Communicate effectively in writing as appropriate for the needs of the audience.
  • Speaking to others to convey information effectively and with courtesy.
  • Teamwork and Customer Service Skills; actively looking for ways to help faculty, staff, students, clients, and other administrative assistants to ensure seamless service delivery.
  • Excellent time management skills.
  • Experience with managing a calendar effectively and a desire to identify and implement improvements within a system or workflow.

Responsibilities

  • Coordinating the graduate application process, maintaining an applicant database.
  • Arranging travel and preparing documents for prospective student visits.
  • Monitoring graduate student process and maintain graduate exam schedules.
  • Assisting students by addressing enrollment questions and issues.
  • Assisting the Business Manager with I-9 verifications for all newly hired positions.
  • Arranging travel using university funds.
  • Processing spend authorizations and expense reports in Workday.
  • Managing all records in accordance with department and university guidelines.
  • Managing inventory and supplies.
  • Assisting the Business Manager with gathering and presenting information required for reporting and reviewing grant and program accounts for faculty.
