About The Position

The Washington State Investment Board (WSIB) is a global investment management organization managing over $233.9 billion in assets. The WSIB's mission is to maximize return at a prudent level of risk for 18 retirement plans and several other public funds. This position is within the Legal, Risk, and Compliance (LRC) team and provides professional administrative support with a focus on public records, contracts administration, and investment compliance. The role requires regular onsite work due to its operational nature, though telework opportunities may be available. The AA3 will serve as a trusted resource, coordinating meetings, preparing documents, supporting committee operations, maintaining records, tracking action items, and providing customer service with discretion and attention to detail.

Requirements

  • Administrative support experience in a professional office environment.
  • A strong commitment to providing excellent customer service.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Demonstrated ability to prepare clear, accurate, and professional business documents.
  • Experience coordinating calendars and meetings in a complex environment.
  • Ability to interpret policies and procedures and apply them accurately in day-to-day work.
  • Ability to work independently while collaborating effectively with a diverse group of internal and external partners.
  • Possession of a Washington state license as a notary public, or ability to obtain such a license within three months of hire.
  • Three (3) or more years of progressively responsible experience in a similar administrative support role.
  • Superior verbal and written communication skills, including experience preparing professional correspondence, meeting materials, taking meeting minutes, and communicating effectively with leadership and stakeholders.
  • Advanced proficiency with Microsoft Office, including Outlook calendaring and Word document formatting.
  • Demonstrated ability to learn new software applications and business systems.
  • Exceptional organizational skills, attention to detail, and customer service.
  • Proven ability to manage competing priorities while producing accurate, high-quality work.
  • Demonstrated experience exercising tact, diplomacy and discretion when handling sensitive and confidential information.

Responsibilities

  • Provide administrative support to the LRC unit.
  • Support public records and records management activities by organizing records, maintaining tracking systems, researching and compiling information, and ensuring compliance with records retention laws.
  • Support procurement and contracting functions by preparing and routing contract documents, maintaining contract records, and assisting with procurement reporting and documentation.
  • Assist with regulatory, compliance, ethics, and government process activities by maintaining accurate records, compiling information for regulatory filings and reports, and monitoring compliance documentation.
  • Deliver exceptional customer service to internal and external stakeholders.
  • Coordinate calendars, meetings, and appointments, including scheduling, agenda preparation, document distribution, and follow up.
  • Prepare, proofread, edit, and format correspondence, reports, presentations, and other professional documents.
  • Maintain organized administrative files and tracking systems using attention to detail and accuracy.
  • Utilize Microsoft Office applications to produce accurate, high-quality work products.
  • Exercise sound judgement, discretion, and diplomacy when handling confidential information and supporting sensitive legal, regulatory, and business processes.
  • Prioritize competing assignments, anticipate administrative needs, and meet established deadlines.
  • Perform other administrative duties as assigned.
