About The Position

The Department of Family and Community Services, Division of Departmental Support Services is recruiting for a full-time Administrative Assistant 2 in Anchorage, Alaska. This position provides technical support to the Assistant Commissioner's Office, encompassing financial, human resource, office, and property management, as well as basic procurement, travel arrangements, calendar scheduling, and office supply inventory. The incumbent is expected to perform independently, prioritize work assignments, and demonstrate initiative in identifying improvements to administrative functions, while coordinating with other offices, divisions, and teams. This role involves independently analyzing, evaluating, and making decisions and recommendations related to general administrative procedures in accordance with the Alaska Administrative Code (AAC). The position performs technical duties in multiple administrative functional areas and provides/interprets information governed by policy, procedure, regulation, and other guidelines. The team is focused on bringing about major changes in financial operations at the Department of Family and Community Services (DFCS), with goals to promote and protect the health and well-being of vulnerable Alaskans through improving departmental processes, training, mentoring staff, and creating a vibrant workplace.

Requirements

  • Six months of entry-level technical experience in one or more administrative functional areas such as human resources, accounting, administration, and procurement.
  • This experience includes work such as Administrative Assistant 1, Accounting Technician 1, Human Resource Technician 1, and similar classes with the State of Alaska or the equivalent with another employer.
  • OR One year of advanced-level clerical experience.
  • This experience includes work such as Office Assistant 2, Accounting Clerk, and similar classes with the State of Alaska or the equivalent with another employer.
  • OR One year of post-secondary education from an accredited college (32 semester hours or 48 quarter hours equals 1 year).
  • OR One year of any combination of post-secondary education, vocational education, and/or advanced-level clerical experience.
  • Uses computers, software applications, databases, and automated systems to accomplish work.
  • Expresses information (for example, ideas or facts) to individuals or groups effectively, taking into account the audience and nature of the information (for example, technical, sensitive, controversial); makes clear and convincing oral and written presentations; listens to others, attends to nonverbal cues, and responds appropriately.
  • Is thorough when performing work and conscientious about attending to detail.
  • Adjusts planned work by gathering relevant information and applying critical thinking to address multiple demands and competing priorities in a changing environment.
  • Encourages and facilitates cooperation, pride, trust, and group identity; fosters commitment and team spirit; works with others to achieve goals.
  • Must provide contact details for a minimum of three (3) individuals who can attest to work performance, technical skills, and job competencies, in which one (1) of the three (3) references must be a current or former direct supervisor.
