About The Position

The Administrative Assistant 2 will provide comprehensive support to 3-4 professors in Mechanical Engineering under minimal supervision. This role involves assisting with course material preparation and organization, responding to inquiries, resolving problems, composing and editing documents, ordering supplies and equipment within budget, matching invoices to packing slips, validating deliveries, processing financial documents, and working closely with financial staff to monitor and reconcile account statements. The position also includes assisting with budget management activities, scheduling complex appointments, meetings, and travel, coordinating high-profile events, gathering information, and submitting requests for appointments within faculty research labs.

Requirements

  • High School education or equivalent
  • A minimum of three years administrative, office, or related experience
  • Excellent interpersonal and communication skills and the ability to work effectively with people at all levels
  • Excellent organizational and word processing skills, including ability to handle multiple tasks simultaneously
  • Ability to work independently as well as part of a team
  • Ability to prioritize and problem solve
  • Experience with arranging travel, paying invoices, ordering supplies, account reconciliations and expense reimbursements
  • Proficiency in the Microsoft Office Suite
  • Experience updating websites
  • Willingness to learn new software
