Requirements

  • Associate’s degree from an accredited college or university in business, administrative assistant, or related field.
  • Combination of education and experience equivalent to two (2) year of experience in a customer-focused position.
  • Regular and reliable attendance is a necessary component of job/position.
  • Individuals required to use County vehicles and equipment must have a valid driver’s license and be free of any major traffic violations for the last three (3) years.
  • Knowledge of office procedures and equipment.
  • Knowledge of policies, regulations, statutes, procedures, and practices pertaining to the area of specialization.
  • Knowledge of community resources.
  • Skill in the use of computers and technology.
  • Skill in the use of basic business math.
  • Ability to perform administrative tasks.
  • Ability to maintain the confidentiality of information.
  • Ability to enter data quickly and accurately, with attention to detail.
  • Ability to organize and prioritize daily work tasks while experiencing multiple interruptions.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to follow written and verbal instructions.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to recommend solutions to problems.
  • Ability to de-escalate situations.

Responsibilities

  • Provides customer service to internal and external customers, answers questions, responds to email, and answers multi-line phone system.
  • Performs a variety of additional administrative support tasks to the area of assignment.
  • Supports a diverse, respectful, and inclusive workplace.
  • Provides administrative support, creates correspondence, and updates databases.
  • Maintains records and files.
  • Acts as initial point of contact for customers and other County departments.
  • Processes reservations.
  • De-escalates situations and responds with solutions for customer concerns.
  • Collects applications and fees.
  • Generates invoices and processes payments through the cashiering system.
  • Prepares meeting agendas, attends meetings, and records accurate meeting minutes.
  • Compiles and reviews data, supports survey administration, and prepares reports.
  • Provides basic computer and office equipment technical support to department users.
  • Completes web editing and social media tasks.
  • Supports 508c compliance efforts.
  • Schedules and organizes department appointments, events, meetings, and travel arrangements.
  • Sorts and distributes mail.
  • Maintains inventory of office supplies.
  • Coordinates ordering and receiving of supplies.
  • Performs related work as required.
