About The Position

The Administrative Assistant is the first point of contact for resident and guest visiting our management office and provides administrative support to the various departmental functions occurring within management office. Responsibilities include, but are not limited to: Superior organizational, interpersonal and time-management skills, detail oriented, efficient, multitasker, flexible, and eager to learn. Greet existing and prospective residents creating a warm and welcoming atmosphere Provide office support to with all day-to-day administrative functions such as answering the phones, resolve resident issues, take memos, generate and mail reminder notices and waivers, manage and distribute daily correspondence Manage resident requests and all incoming work orders needing repairs, and assign and distribute work to the appropriate maintenance staffCreate and track resident data information consisting of move ins/outs, re-certifications, etc.Schedule recertification appointments, track income documentation and waivers Daily follow up with residents and vendors to schedule and confirm repair appointments Work closely with assistant manager on violation mitigation repairs Works on special projects as requested, and perform additional tasks as assigned and requested Daily update, maintains and tracks of work orders in Yardi

Requirements

  • Superior organizational, interpersonal and time-management skills, detail oriented, efficient, multitasker, flexible, and eager to learn
  • High School Diploma and/or equivalency
  • 2+ year of customer service or front desk administrative work experience in a fast-paced work environment
  • Experience with Microsoft Word, Excel
  • Detail-oriented with ability to multi-task and maintain organization in a fast-paced environment
  • Communicate effectively in English and Spanish, both verbally and in writing preferred

  • Proficiency in Site Compli, Happy Co. Yardi and RentCafe, preferred

Responsibilities
