About The Position

The Division of Corporations, Business & Professional Licensing is recruiting for an Administrative Assistant 1. This position is intended to support licensing activities and offers an excellent opportunity for the incumbent to learn about professional licensing and prepare for the next step in their career. The role provides technical and administrative support for the State of Alaska’s Professional Licensing section and involves working with a wide variety of processes that use multiple technologies, proprietary software, applications, and media specific to the licensing unit. In addition to core licensing responsibilities, this position also serves as backup support to the administrative team and will work directly with customers both in person and via phone and email ensuring they receive timely, accurate, and professional assistance.

Requirements

  • Six months of advanced clerical experience (e.g., Office Assistant 2, Accounting Clerk, or similar classes with the State of Alaska or the equivalent with another employer).
  • OR Six months of any combination of post-secondary education, vocational education, and/or advanced-level clerical experience (Three semester or four quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience).
  • Reviewing complex or questionable applications or documents and searching files and regulations to determine accuracy of information to clarify applicant status.
  • Using judgment in applying criteria, rules, regulations, and policies.
  • Providing information to organizational unit staff on administrative processes and procedures.
  • Tracking expenditures.
  • Completing necessary administrative paperwork according to regulations.
  • Composing letters and memoranda.
  • Completing and reviewing forms for completeness and accuracy using readily available information from multiple sources and established guidelines and procedures.
  • Organization and Attention to Detail: Ability to remain organized with projects and multiple email inbox management, thorough when performing work and display of a high level of effort and commitment towards performing work.
  • Communication Skills: Strong interpersonal communication abilities; ability to communicate clearly and concisely in writing or verbally; ability to write with minimal typos or grammatical errors.
  • Adaptability: Adjusts planned work based on priorities and needs as they arise; ability to provide critical thinking to address multiple demands and competing priorities.
  • Self-Motivated and Managed: Sets well-defined and realistic personal goals; displays a high level of initiative, effort, and commitment towards completing assignments in a timely manner; works with minimal supervision; is motivated to achieve; demonstrates responsible behavior.
