About The Position

SWCA Environmental Consultants is expanding its team and looking for a seasonal/temporary Administrative & Logistics Specialist to support the construction compliance projects located in Rawlins, Wyoming. The ideal candidate is a proactive, organized problem solver with strong communication skills, dedicated to supporting a diverse team of technical specialists for smooth and efficient operations. This position requires the ability to work both independently, as well as collaboratively with all members of the team. The individual in this position will have high attention to detail, be able to prioritize, multi-task and possess strong time management skills. The ideal candidate will clearly communicate and provide support for employees while also being able to negotiate assertively with our vendors. This is a half -time, hourly, non-exempt position estimated at 20 hours/week (with some variability to be discussed and approved as needed) primarily during the months of March to November 2026. This role will be based out of the Sheridan, Wyoming office as a remote employee and will involve working with our program Director, project managers and field staff. The individual selected must live within 2 hours of Rawlins, WY.

Requirements

  • One (1) year of progressively responsible experience in a similar role
  • Must have a current and valid drivers license, with the ability to drive multiple types of vehicles, trucks, and 4x4’s.
  • Demonstrated proficiency with MS Office applications including Word, Excel, PowerPoint, and Outlook.
  • Experience with technology asset inventory and management; specific to field data collection tablets and GPS devices.
  • Ability to assertively negotiate rates with hotels and manage relationships with car rental agencies.
  • Must be able to run errands with minimal notice during business hours.
  • Experience with scheduling and meeting coordination

Nice To Haves

  • Bachelor’s or associate degree or college coursework in business, administration, office technology, or a related business field
  • Up to four (4) years of progressively responsible experience preferred.
  • Experience working for an environmental consulting, engineering, or construction firm.
  • Experience with other software applications such as Adobe Acrobat.
  • Budget tracking, reporting, or equivalent experience.

Responsibilities

  • Manage program and project logistics for construction compliance staff, including coordinating with project/task managers and directors regarding project needs; assisting with preparation of and updates to project schedules; coordinating and scheduling staff for fieldwork; arranging travel, vehicles, equipment, and supplies for staff; supporting fieldwork logistics and coordination; collecting safety forms and expense receipts; and assisting staff with expense reporting.
  • Develop strong working relationships with leads and directors for planning, cultural resources, and natural resources and learn team/individual skillsets and services provided to more efficiently schedule staff.
  • Manage health and safety compliance tasks, scheduling training courses, and monthly reporting.
  • Manage supply inventory, maintenance, organization, and billing of field data and safety equipment, including inventorying and purchasing field supplies and technology asset management (e.g., field tablets, GPS equipment, and SPOT devices).
  • Manage and organize safety gear, secure travel, outgoing and incoming forms, and data; support field house management and tenant support; track expenditures and reconcile billing and credit card statements; provide document production and mailing support; and organize project and safety records and files.
  • Procuring Certificates of Insurance to meet contract requirements as needed.
  • Manage a fleet of company-owned and rental vehicles and coordinating vehicle maintenance and repairs as needed.
  • Oversee administrative tasks such as office supply orders, mail/FedEx, picking up groceries/errands, document production, and other office-related tasks.
  • Coordinate both onsite and offsite meetings, conferences, and community volunteer events.
  • Onboard new employees and offer on-site orientation.
  • Collaborate with corporate departments as directed.
  • Coordinate monthly office expense reporting, track office expenditures, and reconcile office credit card statements.
