About The Position

The CBHHS Dean's Staff - Administrative Analyst is responsible for office management and clerical support for the Dean and Associate Deans in the College of Business, Health, and Human Services. This position is governed by state and federal laws and agency policy.

Requirements

  • Associate Degree required with one (1) year of experience in Higher Education or experience in a specialized or a related field applicable to work performed.
  • Other job-related education and/or experience may be substituted for all or part of these basic requirements.
  • Excellent written and oral communication skills, presentation and organization skills, and a customer service orientation;
  • Strong customer service abilities;
  • Ability to work in a team environment;
  • Strong computer skills;
  • Ability to manipulate data in a spreadsheet.

Responsibilities

  • Serve as the primary point of contact for the Dean's office, managing front desk reception, screening calls, greeting visitors, handling inquiries, and maintaining the college contact list;
  • Act as liaison between the Dean's office, students, faculty, staff, and external constituencies, addressing day-to-day issues and directing individuals to the appropriate person as needed;
  • Provide comprehensive administrative support to the Dean and Associate Deans, including scheduling appointments, coordinating meetings with school directors, program coordinators, and faculty, and managing travel arrangements;
  • Organize and facilitate meetings and special events, including scheduling, venue coordination, agenda preparation, minute-taking, and post-meeting follow-up actions;
  • Prepare and assist in producing a variety of documents and materials, including letters, reports, newsletters, outreach materials, curricula, catalogs, and bulletins, and assist in updating the college website;
  • Maintain accurate records and databases by gathering, entering, and updating data; ensure timely processing of documents and procedural forms; and manage office supply inventory and mail pickup and delivery;
  • Build and maintain relationships with external vendors and suppliers to ensure timely, quality service; manage all facilities and maintenance requests; and collaborate with the Institutional Assistant and Finance Director to support school directors as needed;
  • Collaborate with administrative staff across the college to plan events, train new staff, relay information, communicate with university departments on relevant projects, and consistently meet deadlines;
  • Maintain strict confidentiality, pursue professional growth through educational programs and workshops, and perform other duties as assigned;
  • Other duties as assigned.
