About The Position

The qualified candidate must understand the importance of processing confidential information. Must be able to maintain a complex system of departmental records, reports and databases. This role performs a variety of administrative functions, schedules appointments, gives information to callers, and takes dictation. The candidate will compose memos, transcribe notes, and research and create presentations. They will also generate reports, handle multiple projects, and prepare and monitor invoices and expense reports. This position may assist with compiling and developing the annual budget, screen and direct incoming phone calls and inquiries, and provide information as well as some interpretation of department procedures. The role utilizes Cost Point to process requisitions when receiving purchase requests, places orders for office supplies, and handles the full cycle process of giving visitors' badges and completing paperwork for badges when necessary. The candidate will resolve administrative problems and inquiries, and maintain electronic and hard copy filing systems. This position has knowledge of commonly-used concepts, practices, and procedures within a particular field, relies on instructions and pre-established guidelines to perform the functions of the job, and will perform other duties as assigned. Works under immediate supervision and typically reports to a supervisor or manager.

Requirements

  • High School Diploma or Equivalent
  • At least 2 years administrative experience
  • Ability to operate standard office machines.
  • Knowledge of efficient office procedures and recordkeeping practices; standard word processing, spreadsheet, database, and presentation software; e-mail systems; proper English usage, spelling, and punctuation.
  • Strong organization skills
  • Microsoft software experience required.
  • Must have ability to multi-task and problem solve.
