This front-line position provides professional public-facing representation, operates the primary or secondary reception areas, and manages daily inbound/outbound secure mail and logistics operations.

Requirements

  • High School diploma required
  • 1–3 years of experience in a professional office environment as an administrative assistant, receptionist, or mailroom clerk.
  • Exceptional customer service and verbal communication skills
  • Proficiency with standard office software (MS Office/Teams)
  • U.S. Citizenship with the ability to obtain and maintain a SECRET security clearance.

Responsibilities

  • Staff the designated floor reception desk continuously during business hours.
  • Professional greet, log, and badge high-level visitors, including foreign dignitaries, congressional staff, and corporate executives.
  • Receive, log, open, and inspect all incoming unclassified mail, checking for mandatory attachments.
  • Distribute items according to the USTDA Correspondence Guidelines.
  • Manage general agency email inboxes and primary phone lines daily, routing inquiries and electronic documents to the appropriate personnel or office.
  • Process, pack, and coordinate outgoing regular mail and express commercial courier packages (FedEx/UPS/DHL), maintaining an accurate log of all transaction dates.
  • Track, organize, and restock the eight copier workrooms and the central mailroom with papers, forms, and tools.
  • Notify the administration office when inventory runs low or machinery requires repair.
