About The Position

The Economic Services Division of DCR administers federal and state-mandated programs for eligible families. ESD administers programs including Food & Nutrition Services, Work First Family Assistance, Work First Employment Services, Medicaid for Family & Children, Adult Medicaid, Energy Assistance, and Emergency Assistance programs. Position Summary Perform routine administrative, clerical and technical work. This position, under general supervision, is responsible for general administrative functions of variety and specialization in a department. This position is responsible for reviewing information in the state and county computer systems to assess need and case status, provide information and referral services, and utilize the queuing system to successfully route customers to the appropriate portal for the assistance they seek. This position may also provide administrative back-up to other administrative support functions. The selected candidate will provide on-site support to the Department Monday – Friday.

Requirements

  • Minimum of two years of administrative experience
  • High School Diploma or equivalent
  • Combination of relevant education and relevant experience accepted?: Yes

Responsibilities

  • Provide administrative support to internal departmental staff
  • Respond to inquiries and resolve administrative issues that may arise
  • Prepare written correspondence such as memos, forms and emails
  • Respond to and resolve customer inquires regarding services available, community resource options, on-going programs and benefit status
  • Create, maintain, organize and enter information into databases and use various computer applications
  • Operate office equipment, fax machines, copiers, or phone systems and arrange for needed repairs
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as correspondence, or other material
  • Operate mail systems and coordinate the flow of information, internally or externally
  • Schedule, confirm and maintain meetings, events, and schedules
  • Compose, type, and distribute information such as meeting notes, agendas, and general information
  • Respond in cases of urgent and/or emergent events that require public health interventions. Employees may be trained for and assigned duties unrelated to their regular work; work outside normal business hours and workdays and/or in a different work location may be required. Emergency events include, but are not limited to, communicable disease outbreaks, severe weather situations (e.g. snow or ice storms, tornados, hurricanes), natural disasters (e.g. earthquakes), fire, or power outages, and acts of terrorism.
