About The Position

The A220 commercial aircraft Programme is looking for our Executive Assistant (f/m) to join our Procurement team based in Mirabel (Québec, Canada). The Procurement team organization is established to promote cross-collaboration autonomously, supporting each other and learning collectively.

Requirements

  • You hold a minimum of 5 years of relevant experience directly related to administrative support
  • You have strong knowledge of Google Suite, SAP
  • You have excellent communication skills in both French and English (written and spoken)
  • You demonstrate ability to plan, organize and prioritize, take initiatives, exercise good judgment, anticipate needs and requirements as well as to work under time constraints/pressure
  • You demonstrate discretion, team work, are customer oriented, appreciate attention to detail, and have the strong ability to work in a multifaceted and multicultural team.

Responsibilities

  • Monitor A220 Chief Procurement Officer's emails to ensure prompt response to requests to both internal stakeholders as well as external clients; propose answers and/or answer autonomously when appropriate
  • Ensure follow-up of actions assigned to his direct team
  • Organize his agenda by making the necessary changes according to daily priorities
  • Create and maintain a strong link with the Executive Assistant Network in Airbus Canada, Airbus America and Airbus Europe for efficient ways of working
  • Respond to requests for information, schedules meetings, prepare the necessary documentation and ensure follow-up actions that follow
  • Maintain the governance calendar of his team and ensure all deadlines related to the governance of the groups are adhered to
  • Maintain and manage effective Budget tracking for his team and validate Expense Reports
  • Prepare PR form and request for PO for the department and Temporary resources
  • Ensure Follow up with accounts payable for payments due
  • Participate in the creation of memos, correct and translate various documents
  • Prepare travel itineraries and make required reservations for him
  • Maintain contacts with various direct reports, as well as members of senior management in Airbus Canada and Airbus Europe
  • Complete expense reports using appropriate tools (including coordinating reimbursement of expenses with our service providers
  • Create all IT and access requests for new hires; access, badges, IT equipment, etc.
  • Manage and organize new hire integration sessions
  • Create all IT requests for access to directories, software, etc. (BIS requests)
  • Manage and order office supplies
  • Provide administrative support to the Leadership team, including; organizing meetings, ordering catering services, booking rooms, etc.
  • Provide administrative and onsite support for external supplier visits
  • Undertake any other relevant tasks related to its function.
