About The Position

This is an emergency hire for a Semester Kickstart Activity Coordinator within Extended, Professional and Continuing Education. The role involves planning and executing a diverse schedule of activities to support student engagement during orientation periods. The coordinator will be responsible for program planning, event logistics, student engagement, communication, reporting, and on-site operations. The assignment dates are from June 1, 2026, to August 11, 2026, with a required schedule including evening shifts Monday, Tuesday, Thursday, Friday (5:00 PM – 9:00 PM), full-day availability on Wednesdays, and full-day weekend availability (Saturday and Sunday).

Requirements

  • High school diploma or its equivalent.
  • Type 45 wpm.
  • Four years of general office support or technical experience.
  • Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for six months experience.
  • Satisfactory completion of a background check (including a criminal records check).
  • Must be authorized to work for any employer in the U.S. (Cal Poly is not a sponsoring agency for staff or management positions).

Responsibilities

  • Design a diverse schedule of activities (social, educational, cultural, and recreational) that reflect institutional values, diversity, equity, and inclusion principles.
  • Develop run-of-show documents and activity guides.
  • Research, purchase, and track supplies needed for program operations and activities.
  • Sort, organize, and manage storage inventory to ensure accessibility and efficient use of materials.
  • Coordinate event logistics including space reservations, equipment, materials, and technology.
  • Work with vendors, campus services, and facilities teams.
  • Develop and manage activity timelines and setup/breakdown plans.
  • Ensure compliance with campus policies (safety, accessibility, risk management).
  • Assign roles and responsibilities to Learning Assistants during events.
  • Provide real-time direction and troubleshooting during programs.
  • Foster a positive and professional team environment.
  • Lead or co-facilitate activities, icebreakers, and group interactions.
  • Create an inclusive, welcoming environment for students from diverse backgrounds.
  • Encourage participation and help students build connections.
  • Respond to student needs and escalate concerns when appropriate.
  • Assist in promoting activities through orientation materials, social media, and campus communication channels.
  • Provide clear instructions and updates to students and staff.
  • Coordinate with EPaCE Program Coordinators as needed.
  • Collect feedback from participants and staff.
  • Evaluate program effectiveness and student engagement outcomes.
  • Provide summary reports and recommendations for future orientations.
  • Monitor activities to ensure they run smoothly and on schedule.
  • Address unexpected issues (attendance changes, weather, technical problems).
  • Maintain a calm, solutions-oriented approach in a fast-paced environment.
