About The Position

The Vendor Specialist is responsible for the timely and accurate posting and payment of Accounts Payable invoices billed to assigned stores.

Requirements

  • 2 years of full cycle accounts payable experience
  • Experience with automated posting and payment systems; high volume a plus
  • Experience with Excel, Outlook, & Adobe Acrobat
  • Comfortable in a team environment

Nice To Haves

  • Dealership experience with CDK preferred, but not necessary

Responsibilities

  • Daily review of COUPA views for pending invoices to be processed.
  • Process all invoices, including those in AP Entry, AP Rejection, AP Docs Pending, AP Vendor Admin, and AP Entry blank location views.
  • Create invoices received via email that are rejections from CTI to COUPA.
  • Create invoices received via email that are FACILITY INVOICES.
  • Respond to personal email, resolve issues with vendors and store managers.
  • Conduct statement reconciliation and update spreadsheets.
  • Review statements, request open invoices over 30 days, and update spreadsheet information on the shared drive.
  • Conduct Unclaimed Property review upon receipt of file from corporate with BOC data.
  • Perform Unclaimed Property research, vendor outreach, submission of requests to ODC, and update spreadsheet information on the shared drive.
  • Ensure Coupa/CTI/FAC invoices are processed within 48 hours of entry or email receipt.
  • Adhere to Statement Reconciliation SLA, generally published the last week of the month.
  • Adhere to Unclaimed Property SLA, generally published the last week of the month.
  • Perform month-end processing, ensuring all daily views are clear before the end of the day.
  • Attend Statement Reconciliation review meetings with Team Leads and Supervisors.
  • Coordinate with parts manager and store team for parts inventories.
  • Undertake projects assigned by the leadership team.
  • Engage in cross-training with other departments.
  • Assist other team members as needed.
  • Perform other related duties to benefit the mission/vision of the organization.
