Responsibilities
- Coding invoices to proper general ledger accounts; ensuring proper authorization of all payables
- Processing special and weekly check runs; preparing accounts payable checks and remittance advice
- Setup new vendor accounts, including relevant W9 information
- Assists offices with filling out applications
- Checks and processes all vouchers for payment, prepares invoice deduction notices, negotiates late fees and balance adjustments as necessary
- Answers all vendor inquiries, analyzes vendor accounts and negotiates extended terms with vendors when cash is restricted
- Prepares credit applications for new vendors
- Prints all accounts payable reports, creates and maintains all accounts payable files- including all leases binders
- Analytically review invoices for variances from historical data
- Prepares analysis of accounts, as required
- Assists with special project, such as new staff development, sales tax audit, and budget development/analysis, as requested
