Accounts Payable Associate
About The Position
New York Pilates is looking for a detail-oriented and proactive Accounts Payable & Finance Associate to bring their AP function in-house. This role will take ownership of bill pay while expanding support across broader finance operations, providing stronger visibility, accuracy, and partnership with the business. This is an opportunity to build and optimize internal processes, improve financial tracking, and collaborate closely with leadership on day-to-day financial operations. This is a full-time, U.S. based position, with required availability during EST hours; strong preference for candidates based in NYC.
Requirements
- 2-4 years of experience in Accounts Payable, Bookkeeping, or Finance Operations
- Strong attention to detail and organizational skills
- Experience with accounting software (QuickBooks preferred)
- Comfortable managing high-volume transactions with accuracy
- Direct experience working closely with and reporting directly to senior leadership, with the ability to communicate financial insights clearly and concisely.

Responsibilities
- Own end-to-end AP process: invoice intake, coding, approvals, and payment execution
- Manage vendor relationships and maintain accurate records
- Ensure timely and accurate bill payments, avoiding late fees or discrepancies
- Monitor cash outflows and flag any irregularities or risks
- Assist with weekly cash flow tracking and reporting
- Support month-end close (reconciliations, accruals, documentation)
- Maintain accurate financial data within accounting systems (e.g., QuickBooks)
- Partner with leadership to improve visibility into spend and budgeting
- Build and refine AP systems, workflows, and approval processes
- Establish checks and balances (especially if structured as a part-time team)
- Identify inefficiencies and recommend scalable solutions
- Ensure compliance with internal policies and accounting best practices
