About The Position

Hunt Electric, Inc. of Salt Lake City, UT is searching for a full-time Project Coordinator to join our team. This position requires self-motivation and self-management of work with strong interpersonal skills to meet with users in a face-to-face environment. The role involves maintaining complete and accurate records for multiple jobs, preparing project billings, purchase orders, and ensuring prompt customer payments. It also includes maintaining positive relationships with contractors, vendors, and suppliers, ensuring accurate coding and costing of projects, and providing reports to management. A key responsibility is filing preliminary notices on the State Construction Registry and managing lien waivers to facilitate timely draw releases. The position also provides receptionist backup, assists with miscellaneous projects, and requires the ability to work both independently and as part of a team on accounting-related duties.

Requirements

  • One year project coordination experience.
  • Construction accounting experience.
  • AP/AR experience.
  • Well-developed computer skills – Microsoft Word, Excel, and PowerPoint.
  • Ability to maintain a high level of confidentiality.
  • Self-motivation and self-management of work.
  • Strong interpersonal skills.
  • Excellent customer service and problem-solving skills.
  • Ability to handle sensitive situations with objectivity and professionalism.

Responsibilities

  • Maintaining complete and accurate records for multiple jobs, working with multiple project managers.
  • Preparing project billings and purchase orders, and working to ensure prompt payments from customers.
  • Maintaining a healthy and conducive working relationship with contractors, vendors, and suppliers.
  • Properly coding and ensuring accurate and up-to-date costs for all projects, and providing accurate reporting to assigned project managers and controller.
  • Ensuring that all jobs have a preliminary notice filed on the State Construction Registry to protect future lien rights for Hunt Electric.
  • Managing and obtaining lien waivers for each job to ensure timely release of the month draws with the General.
  • Acting as a receptionist back up to greet/announce visitors and answer phones.
  • Assisting Project Managers, Controller, and CFO with miscellaneous projects and assignments.
  • Working independently as well as in a team environment with other employees to assist in accounting related duties and coordinating projects.
  • Being dependable, organized, and having excellent customer service and problem-solving skills.
  • Handling sensitive situations with objectivity and professionalism.
  • Working well with all organizational levels to influence actions and negotiate outcomes.
