About The Position

HeartWorks is a mission-driven nonprofit serving underserved families through education, wellness, mental health, and community-based support. We’re a small, collaborative team passionate about making a difference locally. We’re seeking a reliable, detail-oriented Accounting, HR & Administrative Specialist to support financial operations, employee processes, and daily office functions. This role reports to the Finance Director and is ideal for someone organized, self-sufficient, and interested in growing with a nonprofit.

Requirements

  • Minimum 1 year of entry-level finance, accounting, or bookkeeping experience, including basic knowledge of finance and accounting principles
  • Strong organizational skills, strong attention to detail
  • Reliable, self-sufficient, and capable of independently managing tasks
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Excel
  • Able to handle confidential information with discretion
  • Able to climb stairs, drive a car, sit for extended periods, and lift up to 30 lbs
  • Able to pass a background check

Nice To Haves

  • Associate’s degree in accounting, finance, HR, or related field
  • 2+ years of nonprofit bookkeeping, HR, or administrative experience
  • Experience with QuickBooks or similar accounting software
  • Experience with administrative and/or HR functions
  • Experience with nonprofit fund accounting and grant reporting

Responsibilities

  • Record transactions in QuickBooks and maintain accurate financial records
  • Reconcile monthly bank statements
  • Assist with bi-weekly payroll processing
  • Support financial reports, budgets, and audits
  • Track and compile data for grant & program reporting
  • Support timely submission of grant and audit-related financial documentation
  • Assist with onboarding (new hire paperwork, background checks, personnel files)
  • Support offboarding processes and documentation
  • Maintain accurate employee records and ensure confidentiality
  • Serve as a point of contact for basic HR-related questions
  • Maintain organized digital and paper filing systems
  • Answer phones and manage incoming/outgoing mail
  • Provide general administrative support (scheduling, documents, communication)
  • Assist with fundraiser and event preparation
  • Support day-to-day office operations
