About The Position

The Accounting and HR Specialist provides professional support for both the Finance and Human Resources departments by coordinating day-to-day accounting and HR functions. This position is responsible for processing financial transactions, supporting payroll and benefits administration, maintaining employee records, coordinating recruiting and onboarding activities, and ensuring accurate documentation and compliance with organizational policies. Providing a full range of administration and organizational support, this person must be able to interact with all levels of the organization, respond well to pressure, be resourceful and efficient, and maintain a high level of professionalism and confidentiality. Expert-level written and verbal communication skills, strong decision-making ability, and attention to detail are equally important.

Requirements

  • Associate’s degree in Accounting, Finance, Human Resources, Business Administration, or a related field.
  • Minimum of three years of progressively responsible experience in accounting, human resources, payroll administration, office management, or a related field.
  • Proficiency with Microsoft Office Suite, experience working with cloud-based platforms, and Salesforce preferred.
  • Outstanding project management skills and operates with an entrepreneurial, solutions-oriented mindset.
  • High capacity to master and leverage data tracking platforms.
  • Demonstrated ability and sensitivity working with youth and persons of diverse backgrounds, cultures, and lifestyles.
  • Highly organized and detail-oriented with a bias towards execution and action.
  • A proactive team player is willing to pitch in at all levels while also holding a big-picture, systems-thinking mindset.
  • Skilled relationship builder with a demonstrated ability to motivate and collaborate effectively across differences and at every level of the organization.
  • Exceptional written and verbal communicator.
  • Proficiency in Microsoft Office Suite and experience working with cloud-based software applications.
  • Ability to manage confidential and sensitive information with professionalism and discretion.
  • Be or become a registered member of the Girls Scouts of the United States of America; have a working knowledge of Girl Scout philosophy and programming, and be committed to the Girl Scout mission.
  • Must be able to occasionally work irregular hours, including nights and weekends.
  • Anticipated time away from the office is 10%.
  • Possess a valid driver’s License and proof of insurance.
  • Must be able to work both in an office setting and independently off-site.

  • Prior Girl Scout experience is not required.

Responsibilities

  • Manage all aspects of the Accounts Payable subsidiary ledger in accordance with the Council’s Policies and Procedures Manual, including processing vendor invoices and preparing weekly disbursements.
  • Manage all aspects of the Accounts Receivable subsidiary ledger in accordance with the Council’s Policies and Procedures Manual, including processing cash receipts, generating customer invoices, and overseeing collection activities.
  • Support monthly, quarterly, and year-end closing processes through the preparation of journal entries and reconciliation of balance sheet accounts.
  • Assist with the preparation of financial reports, annual budgets, and audit schedules.
  • Support compliance with Generally Accepted Accounting Principles (GAAP) and applicable local, state, and federal regulations.
  • Assist with maintaining accurate financial records and supporting documentation.
  • Serve as a primary point of contact for employee questions regarding policies, procedures, benefits, and workplace practices.
  • Support employee engagement initiatives and assist in addressing employee concerns in a timely and professional manner.
  • Maintain accurate employee records and HR databases, including processing personnel actions related to hiring, promotions, transfers, status changes, and terminations.
  • Maintain employment records and documentation, including job descriptions, performance evaluations, benefits records, I-9 forms, and other required personnel files.
  • Process and coordinate bi-weekly payroll activities, ensuring accuracy and timeliness.
  • Coordinate recruitment activities, including posting job openings, screening applications, scheduling interviews, and communicating with candidates throughout the hiring process.
  • Support new employee onboarding, including orientation, required paperwork, and benefits enrollment.
  • Assist with ensuring compliance with employment laws, regulations, and organizational policies.
  • Order and maintain office, kitchen, and janitorial supplies for the Madison Leadership Center.
  • Coordinate office maintenance, repairs, and vendor services for the Madison Leadership Center.
  • Help ensure office common areas are clean, organized, and present a professional environment for staff and visitors.
  • Provide general administrative support and assist with special projects as assigned.
  • Work within the established budget, and maintain expenses and receipts as needed.
