About The Position

AMERI-CANS is looking to hire a Accounts Generalist at our location in Manassas Park, VA. This person would responsible for supporting daily accounting operations, including accounts payable and receivable, invoice processing, payment application, vendor and customer account maintenance, payroll support, account reconciliations, and bank and credit card reconciliations. Assist with month-end close, audit preparation, financial reporting, and maintaining accurate accounting records. Research and resolve discrepancies involving invoices, payments, payroll, and accounting transactions while ensuring proper documentation and timely completion of tasks. Communicate professionally with vendors, customers, employees, and internal departments, maintain accounting system information, prepare spreadsheets and reports using Microsoft Excel, and provide ongoing support to the Accounting Manager with special projects and other departmental priorities.

Requirements

  • 2+ years of accounting, bookkeeping, AP, AR, payroll, or related experience preferred.
  • Working knowledge of basic accounting principles.
  • Proficiency in Microsoft Excel, including basic formulas, sorting, filtering, and working with large data sets.
  • Strong attention to detail and commitment to accuracy.
  • Ability to prioritize multiple responsibilities and meet deadlines.
  • Strong organizational and problem-solving skills.
  • Comfortable researching discrepancies and following issues through to resolution.
  • Strong written and verbal communication skills.
  • Ability to work both independently and collaboratively within a team.
  • High level of professionalism when handling confidential financial and employee information

Nice To Haves

  • Previous payroll experience preferred but not required.
  • Experience with accounting or ERP software; QuickBooks experience is a plus.
  • Experience with payroll or timekeeping systems is a plus.

Responsibilities

  • Assist with Accounts Payable, including invoice entry, coding, vendor account maintenance, statement reconciliation, and payment support.
  • Assist with Accounts Receivable, including customer invoicing, payment application, account research, and collection follow-up.
  • Assist with payroll processing, including reviewing timekeeping information, researching discrepancies, maintaining payroll-related documentation, and providing general payroll support.
  • Assist with employee payroll questions and research payroll discrepancies as needed.
  • Reconcile vendor and customer accounts and research discrepancies.
  • Assist with bank and credit card reconciliations.
  • Review accounting transactions for accuracy and proper documentation.
  • Maintain organized and accurate accounting records.
  • Assist with month-end close activities, including reconciliations and supporting schedules.
  • Research and resolve discrepancies between invoices, payments, purchase documentation, payroll information, and accounting records.
  • Communicate with vendors, customers, employees, and internal departments regarding accounting and payroll-related questions.
  • Assist with maintaining vendor and customer information within the accounting system.
  • Prepare reports, schedules, and spreadsheets as requested by the Accounting Manager.
  • Assist with audit preparation, including gathering, organizing, and providing supporting documentation.
  • Provide day-to-day support to the Accounting Manager, including assisting with accounting projects, reporting, research, reconciliations, and other departmental priorities.
  • Assist the Accounting Manager with special projects and ad hoc accounting tasks as needed.
  • Help ensure daily accounting activities are completed accurately and timely, escalating discrepancies or concerns when appropriate.
  • Provide backup support to other members of the accounting department as needed.
  • Identify discrepancies or unusual activity and escalate concerns appropriately.
  • Perform additional accounting and administrative duties as assigned.
