About The Position

The Tag & Title Clerk works within the accounting department to ensure proper and timely receipt of funds and delivery of vehicle tag, title and registration to the client.

Requirements

  • Strong organizational and problem-solving skills required
  • 4 years of title processing experience in high-volume environment
  • Computer literate with knowledge in dealership systems (ADP/ Reynolds and Reynolds preferred)
  • Excellent verbal and written communication skills
  • Ability to collaborate with the public, sometimes with multiple lenders at a time
  • Ability to collaborate with other dealership personnel
  • Maintain a high level of confidentiality
  • Maintain a high level of professional personal appearance and conduct
  • Must be able to handle demanding customers and situations

Nice To Haves

  • Bookkeeping and/or general accounting background helpful
  • Bilingual (English/Spanish) a plus

Responsibilities

  • Ensure that all New, Pre-Owned, and Wholesale vehicle tags and titles are properly registered with the appropriate state by processing and preparing applicable tax and title documentation, including: Verifying Lien information and payoff amount, Submitting all legal transfer paperwork to the DMV, Ensuring all information in the applications is properly completed.
  • Assign vehicle tags to clients according to company’s policies and procedures incorporating state and local laws; ensuring transferability to buyer in an efficient manner.
  • Determine and calculate in and out of state transactions according to appropriate federal, state, and local guidelines.
  • Ensure proper delivery of vehicle tags, titles and registration to clients via overnight mail or in person.
  • Provide exceptional (professional, client-focused) customer service to client inquiries or concerns in person, via e-mail, via fax, or via telephone. Making sure that internal and external customers receive prompt, efficient, and courteous attention for all contact and transactions.
  • Address and resolve problems specific to titles, odometer discrepancies, power of attorney, etc. Must verify accurate Vehicle Identification Numbers (VIN), release of liens, “free and clear” title, and that those titles are free of alterations.
  • Update accounting system as defined by departmental policies and procedures.
  • Maintain the integrity of all new and pre-owned sales by copying and filing deal contracts, programs, and general paperwork.
  • Compiles and maintains a complete list of all outstanding title work. Reports to management on the status of any missing or problem titles.
  • Process yearly renewal of all dealer tags in conjunction with the controller.
  • Must maintain up-to-date knowledge of title regulations.
  • Practice and promote a Teamwork mentality at all times, setting a good personal example of attitude and performance.
  • Attend training classes as directed by management.
  • Perform other related duties as required and assigned.
