About The Position

The Accounting Assistant will work under the supervision of the Accounting Manager to provide services and accounts payable. This role involves ensuring timely and accurate invoice processing and payment, matching invoices to purchase orders, maintaining vendor files, and assisting with year-end processing and audit requests. The position also requires an understanding of regulatory compliance and active participation in relevant meetings and projects. Additionally, the Accounting Assistant will support the efficient use of computer systems and gain proficiency with financial software.

Requirements

  • Over three (3) years of experience in a business office position.
  • Computer proficiency and working knowledge of Windows packages; specifically, Microsoft Office Suite – Outlook, Word, and Excel.
  • Valid Wisconsin driver’s license and acceptance by the Hospital’s insurance carrier.

  • Bachelor degree in Business Administration or Accounting preferred.

Responsibilities

  • Perform the following accounts payable duties: Ensure timely and accurate invoice processing and payment.
  • Match invoices to the purchase order and check for proper approval prior to keying in for payment.
  • Create Settlement Runs for checks and ACH's
  • Mail check payments
  • Maintain AP Email Inbox
  • Maintain master vendor files
  • Assist in year-end 1099 processing
  • Assist in with annual audit requests
  • Misc. Projects
  • Demonstrate understanding of Joint Commission and other regulatory agency compliance regulations.
  • Involve self in the learning and application of relevant standards.
  • Participate in in-services, seminars, and other meetings to increase involvement and awareness of regulations.
  • Participate in hospital committees, meetings, and team projects, as applicable.
  • Demonstrate punctuality and preparedness.
  • Demonstrate effective chairperson skills, if applicable.
  • Demonstrate effective communication skills.
  • Demonstrate good organizational skills with agenda and minute preparation.
  • Contribute in a positive, solution-focused manner.
  • Support the efficient and effective use of computerization.
  • Assist the Information Systems professional in the design, research and purchase of hardware and software that is related to your position/department.
  • Participate in or chair those meetings regarding any decisions regarding the improved use of the financial systems.
  • Gain proficiency with hardware and software use by initiating the participating in educational activities.
