About The Position

Exentec is seeking an Accounting Administrator to support multiple business units within a high‑tech, capital-equipment design and manufacturing environment. This role combines accounting operations and administrative support, contributing to the organization's overall efficiency and performance.

Requirements

  • High school diploma or equivalent required
  • Proficiency in ERP systems and Microsoft Office (Excel, Word, Outlook)
  • Excellent customer service skills, including active listening and communication
  • Strong teamwork and collaboration skills
  • Excellent problem-solving abilities and attention to detail
  • Flexibility to work overtime, holidays, or off-shift hours as needed to support business requirements

Nice To Haves

  • Bachelor’s degree in Accounting, Finance, or a related field preferred
  • 1–2 years of accounting or related experience preferred
  • Experience with Accounts Receivable, Accounts Payable, and collections is a plus
  • Prior bookkeeping experience preferred
  • Experience with Global Shop ERP or similar systems is a plus
  • Basic understanding of general ledger (G/L) accounting and/or inventory processes in a manufacturing environment (preferred)

Responsibilities

  • Partnering with the Controller to support business units and department leaders in achieving company goals, including the development of tools and reports to monitor overall business performance.
  • Performing routine Accounts Receivable (AR) and Accounts Payable (AP) processing, including tracking and following up on outstanding invoices.
  • Monitoring and managing expense reimbursements, office supply purchases, and utility invoices.
  • Collecting and maintaining accurate production labor hours to support performance analysis and payroll processing.
  • Managing and maintaining non-disclosure agreements (NDAs) and other customer and supplier contracts.
  • Printing and releasing manufacturing job documents and inventory audit checklists.
  • Initiating and organizing customer project electronic files and documentation.
  • Coordinating visitor meetings, greeting guests, and serving as the primary point of contact for incoming calls.
  • Providing general administrative support as needed.
  • Other duties as assigned.
