About The Position

The Accounting Administrator is responsible for maintaining accurate, current, and complete accounting records for owners. This role involves managing accounts receivables, accounts payables, payroll, general ledger, and period-end processing. The position supports overall company goals, represents the company professionally, ensures customer satisfaction, and contributes to a positive work environment.

Requirements

  • Bachelor's degree in accounting or equivalent combination of training and experience
  • 3+ years related accounting/bookkeeping experience including AP/AR, Payroll, General Ledger and account reconciliations
  • Proficient with Microsoft Word, Excel, Outlook and general computer skills.
  • Well organized, detail oriented and ability to multi-task
  • Knowledge and use of QuickBooks Online
  • Knowledge and use of payroll software, preferably Paylocity
  • Excellent written and verbal communication skills
  • Ability to problem-solve and stay at task

Responsibilities

  • Prepare invoices, post cash receipts, complete and submit state sales tax, and generate monthly customer statements.
  • Assign GL numbers to payable invoices, enter approved invoices into the system, and issue checks for payment. Process ACH payments and online payments.
  • Reconcile all banks monthly.
  • Maintain the "petty cash" fund and reconcile monthly.
  • Maintain employee records including wages, benefit days, insurance, 401K, and various deductions. Prepare payroll data and submit to the payroll service bi-weekly. Ensure all government filings and payments are completed.
  • Maintain and understand the general ledger account numbering system. Balance and report financial statements every month. At year-end, balance and gather items for the Accounting Firm.
  • Maintain accurate records of all postage funds with USPS and customer deposits.
  • Back up the Receptionist with telephone and walk-in customers.
  • Assist with other duties when assigned.
