In this role, you will be responsible for a variety of administrative functions within a designated business unit. Responsible for confidential and time sensitive material. Prepares routine and advanced correspondence including letters, memoranda, and reports. Acts as a point of contact for financial matters with Departments of Insurance and External Auditor(s). Coordinates all activities of the Corporate Social Responsibility committee and all related processes. Requirements

  • Requires a high school diploma with 5-7 years of experience providing administrative support preferred
  • Demonstrated knowledge of Microsoft Word, Microsoft Excel, PowerPoint and Outlook
  • Demonstrated analytical abilities sufficient to handle most complex administrative functions with the ability to exercise independent judgment in interpreting instructions and determining appropriate course of action in general office situations.
  • Ability to work efficiently under tight deadlines and multiple priorities and to receive a minimum of detailed supervision and guidance.
  • Ability to multi-task.
  • Ability to work within a production team that supports a group of leaders while maintaining a positive attitude and customer service focus.
  • Ability to maintain confidential information.
  • Excellent Interpersonal and Communication Skills (verbal and written)

Responsibilities

  • Point person for external auditors, coordinating on site meetings and visits, serves as a liaison between WoodmenLife employees and auditors, disseminating needs list to internal associates and providing supporting documentation to auditors.
  • Manage the Corporate Credit Card program, ensuring cards are issued/increased/decreased upon proper approval, cancelled upon termination and fraud claims are processed timely.
  • Manage the review and updates to the AML policies, procedures, and tracking of non-equivalent payments to ensure WoodmenLife is in compliance with the US Department of Treasury in conjunction with the requirements of the USA Patriot Act regulations. Assists the AML Compliance Officer as needed.
  • Assists as a point person for Department of Insurance financial examiners, coordinating gathering of supporting documentation from the planning questionnaire, coordinating on site meetings and serves as a liaison between WoodmenLife employees and DOI Examiners.
  • Provide a full range of administrative support to seven members of the leadership team, such as arranging travel, maintaining Outlook calendars, scheduling meetings, answering and screening calls and assisting with workflow.
  • Provide assistance to staff, managers and senior-level officers as needed.
  • Performs specialized administrative duties required to support the Corporate Social Responsibility Committee, using discretion to make judgements based on operating guidelines. Serves as the liaison between WoodmenLife and charitable organizations. Coordinates marketing material and sponsorship attendance as needed.
  • Manage the Employee Gift Match program, approving and declining requests as outlined in the guidelines, and making timely payments upon donation request.
  • Manage the Employee Membership Drive process, attaining discount offers, communicating employee benefits, processing payments to finalize membership purchases.
  • Meets expectations for attendance and punctuality in accordance with the expectations established by your supervisor and Woodmen policy.
  • Plans, prioritizes manage calendars for Vice President, Directors and Managers via Outlook. Makes decisions daily regarding calendar conflicts.
  • Effectively utilizes numerous communication tools both in person (live and telephone) and digital (use of email, Teams etc) to ensure all documentation data is collected and clearly understood.
