About The Position

The Accounting Administration Support Specialist serves as a critical support partner to the Chief Accounting Officer and the broader accounting team. This role combines high-level administrative support with hands-on operational and project coordination responsibilities. The ideal candidate is a self-starter who can take high-level direction, run with it independently, and solve problems proactively. This individual is tech-savvy, with strong proficiency in AI tools, Excel, PowerPoint, and enterprise platforms.

Requirements

  • High School / High School Equivalency (GED, HiSET, TASC) / Foreign Equivalent
  • 2+ Years experience as an Executive Assistant, Operations Specialist, or similar administrative role supporting senior leadership.
  • Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, SharePoint, Teams) and AI-powered productivity tools (Claude, Copilot, Chat GPT, Grok)
  • Demonstrated ability to work independently — a true self-starter who takes ownership of tasks with minimal supervision
  • Excellent organizational, time management, and multitasking skills
  • Strong written and verbal communication skills
  • Ability to interact professionally with senior management, external auditors, and cross-functional teams
  • High attention to detail and commitment to meeting deadlines
  • Ability to take high-level direction and independently determine the best path forward
  • Comfort with learning and leveraging new technologies, including AI tools, to drive efficiency
  • Skilled at coordinating across departments and holding others accountable to deadlines

Nice To Haves

  • Experience with Workiva, Alteryx, Workday, ServiceNow, Coupa, and Oracle-based platforms
  • Familiarity with audit coordination processes (e.g., KPMG / Big Four)
  • Active Notary Public commission (or willingness to obtain)
  • Background in accounting, finance, or banking environments
  • Project management experience or certification (e.g., PMP, CAPM) is a plus

Responsibilities

  • Manage the CAO's calendar, including organizing and coordinating meetings across multiple stakeholders
  • Interact and collaborate with other executive assistants and senior management to coordinate schedules
  • Book travel arrangements for the CAO and other team members as needed (sporadic)
  • Prepare and submit expense reports for the CAO and up to 10 additional team members (approximately 1 per person per month)
  • Serve as a Workday delegate for approvals and administration, including time sheets and PTO approvals
  • Set up and manage recurring meetings such as Close Meetings and All Hands events, including maintaining invitee lists
  • Create polished presentations for the CAO using approved Bank templates, including: Departmental Goals, All Hands Coordination decks, Audit Committee Presentations
  • Assist with IT general communications, issue tracking, and escalation support
  • Drive project management and workflow monitoring across the accounting department
  • Track and close task lists in FCC (Oracle-based tool)
  • Coordinate corporate policy approvals by assisting team members, gathering feedback, and ensuring all necessary steps are completed
  • Gather and submit cross-departmental requests, including policy coordination and regulatory affairs
  • Coordinate KPMG audit requests, hold team members accountable to deadlines, and upload documentation to Clara
  • Manage SharePoint access and site administration for the department
  • Serve as the ServiceNow administrator for the accounting team (IT service management and help desk tool)
  • Administer Workiva platform access and user management
  • Manage the Alteryx queue and related workflow processes
  • Handle access provisioning for RSA tokens and equipment
  • Create and manage Purchase Orders in Coupa (vendor management tool)
  • Manage staff onboarding processes, including new hire checklists and equipment ordering
  • Coordinate with vendors and internal procurement through Coupa for departmental purchasing needs
  • Performs special projects, and additional duties and responsibilities as required.
  • Consistently adheres to regulatory and compliance policies and standards linked to the job as listed and complete required compliance training.
  • Accountable to maintain compliance with applicable federal, state and local laws and regulations.
