About The Position

The Department of State, Division of Administrative Services, Bureau of Planning, Budget & Financial Services is seeking an Accountant IV. This is an Open Competitive position. The Accountant IV serves as a Financial Representative for the divisions, assisting and responding to requests concerning accounts payable and operating budget. The role involves processing invoices, maintaining budget balances, and ensuring timely payments in compliance with state regulations and departmental policies. This position also assists with inputting information into the FACTS system and processing Purchasing Card receipts.

Responsibilities

  • Serves as a Financial Representative for the divisions, assisting and responding to requests concerning accounts payable and operating budget.
  • Processes MyFloridaMarketPlace invoices, travel reimbursements, and incidental invoices, ensuring compliance with state expenditure guidelines and departmental policies.
  • Maintains and monitors current balances of assigned purchase orders and encumbrances in FLAIR.
  • Completes all payments in accordance with section 215.422, Florida Statutes.
  • Generates the Summary of Contractual Services Agreement from FACTS for invoice approval.
  • Encumbers contracts or agreements in FLAIR, ensuring correct funding codes.
  • Monitors and tracks balances, budget releases, and cash, processing payments timely and requesting additional budget releases/cash as needed.
  • Reconciles spreadsheets to FLAIR.
  • Serves as a backup Financial Representative for all Departmental contracts, memorandum of agreements, and other miscellaneous agreements.
  • Assists with the input of information and documents into FACTS (Florida Accountability Contract Tracking System).
  • Processes Purchasing Card receipts from divisions, ensuring required approvals and documentation are attached and assigning correct funding codes.
  • Verifies cash and budget availability for payments.
  • Works with the Purchasing Office in the requisition to purchase processes by assigning appropriate funding codes.
  • Assembles payment vouchers and assists with mailing state warrants for the divisions daily.
  • Performs other work-related duties as required.
