About The Position

The Account Clerk 3 role provides revenue cycle and billing support for Clinical Pathology, Anatomic Pathology, Surgical Pathology, and Cytopathology. This position performs charge review, charge entry, coding support, account analysis, registration support, credit processing, and charge reconciliation in Epic and related systems. The role verifies appropriate Current Procedural terminology (CPT) and ICD-10-CM diagnosis coding information, monitors duplicate or missing charges, supports monthly revenue reporting, and serves as a liaison among the laboratory, Health Information Management (HIM), Patient Financial Services/Revenue Cycle, University of Toledo Medical Center clinics, provider offices, and the University of Toledo Physicians (UTP) practice plan. Work requires accuracy, attention to detail, timely follow-up, confidentiality, HIPAA compliance, and professional communication to support compliant reimbursement and high-quality patient care.

Requirements

  • High school diploma required.
  • Working knowledge of medical terminology, medical insurance, CPT coding, ICD-10-CM (diagnosis) coding, laboratory billing workflows, and health care reimbursement processes.
  • General knowledge of reimbursement methodologies and payer requirements, including DRG, APC, per diem, capitation, fee-for-service, managed care, and governmental payers as applicable.
  • Understanding of HIPAA, patient confidentiality, corporate compliance, billing compliance, and applicable state and federal regulations.
  • Proficiency with Epic or comparable electronic health record/billing systems, Microsoft Word, Microsoft Excel, Outlook, and other software applications required for the position.
  • Ability to review accounts and data for accuracy, identify discrepancies, research issues, document follow-up, and resolve routine billing questions.
  • Strong oral and written communication skills, including professional communication with patients, providers, clinics, HIM, Revenue Cycle/Patient Financial Services, and laboratory staff.
  • Effective interpersonal skills and the ability to work collaboratively with internal and external customers in a courteous and professional manner.
  • Ability to organize work, set priorities, meet deadlines, maintain attention to detail, and manage multiple follow-up items in a fast-paced environment.
  • Ability to work independently with minimal supervision while recognizing when escalation or leadership input is needed.
  • Ability to maintain strict confidentiality of patient, financial, operational, and sensitive department information.
  • Ability and willingness to adapt to changing regulatory, payer, system, and departmental requirements.
  • Demonstrates a strong work ethic, reliability, flexibility, and willingness to assist with overtime or additional assignments when required by department needs.

Nice To Haves

  • Associate degree in Accounting or Finance preferred.
  • 1-3 years of recent work experience in medical billing, patient accounting, health information management, revenue cycle, or a related health care administrative function preferred.
