About The Position

The University of Colorado Colorado Springs (UCCS) is seeking an Academic Services Professional to join the Extended Studies Academic Outreach department, specifically supporting High School Programs. This role is crucial for providing customer service, information, and problem-solving for internal and external audiences regarding various courses and programs. The position also offers operational support by utilizing university systems, assisting in the management of noncredit programs, and providing operational support for High School Programs. Additionally, the Academic Services Professional will serve as the primary HR and Financials Liaison for the Extended Studies Academic Outreach department. Requirements

  • A Bachelor’s degree from an accredited institution of higher education (or a combination of education and related experience on a year-for-year basis).
  • Experience working in a university, college, or high school setting.
  • Experience with detailed data entry.
  • Experience in course/program management in a revenue-generating environment.
  • Completion of an Authorization to Release Information for misconduct history check.

Responsibilities

  • Provide customer service to faculty, staff, students, and parents via phone and email regarding Extended Studies Academic Outreach | High School Programs.
  • Manage day-to-day operational office support and contribute to the vision of the Extended Studies Academic Outreach department.
  • Ensure accurate data entry of Course Information Sheets (CIS) for Extended Studies Academic Outreach courses.
  • Resolve suspended and duplicate applications, generate grade rosters, and input grades, registrations, drops/withdrawals.
  • Utilize system reports in CU-SIS and other University systems as needed.
  • Communicate and engage with Admissions and Records teams regarding application and course scheduling processes.
  • Communicate with campus departments regarding procedures and policies for scheduling Extended Studies Academic Outreach courses in CU-SIS.
  • Serve on University and community committees as necessary.
  • Assist in managing noncredit CEU courses.
  • Collaborate with campus departments to develop, implement, and advertise noncredit courses.
  • Update and improve enrollment instructions and websites for noncredit programs.
  • Assist in managing high school programs.
  • Communicate with administrators, parents, and students regarding program options.
  • Update and improve enrollment instructions and websites for high school programs.
  • Serve as the HR Liaison for Extended Studies Academic Outreach programs.
  • Create and process Letters of Offer, Scope of Work contracts, and Person of Interest forms.
  • Ensure accurate data entry in the HCM or PSC system for payments.
  • Attend HR Liaison meetings/updates to ensure University procedures are followed for paying individuals.
  • Manage all Procurement Services tasks, including pcard reconciliation, office supply ordering, and creating SPOs.
  • Process other forms of payment of expenses through CU MarketPlace and Concur Travel system.
  • Assist with Financial tasks such as creating Journal Entries.
  • Attend Financial Liaison meetings/updates to ensure University Procedures are followed for Extended Studies Academic Outreach programs.
