Description KEY RESPONSIBILITIES: Assists in coordinating one or more student academic functions for a school or program such as admissions, financial aid, registration or student placement. Assists and advises students. May maintain budget records and assist in budget administration. Assists in preparing communication materials about a school or program. Actively participates in committees pertaining to academic services. Maintains and updates students' records in organized filing system and compiles reports from this. May develop resources for students to address particular needs. May supervise clerical personnel. Performs related responsibilities as required. Curriculum Support 30%: Supports curriculum management, including submitting each semester’s class schedule to the Office of the Registrar, monitoring and updating system listings, fielding student questions, and ensuring timely completion of course evaluations.• Researches options and advocates for program classroom and computer lab needs, facilitates classroom assignments, provides classroom supplies and materials.• Supports the management of students’ course preferences and enrollments, including drop/add, course withdrawals, and course audits.• Monitors academic progress and compliance with requirements for competencies, certificates, and graduation, collecting and compiling all necessary documentation.• Communicates with instructors in relation to class schedule and roster, and grade posting deadlines; facilitates instructor access to instructional technology.• Serves as MDP liaison for the ARCHE cross-registration process. Experiential Learning and Coordination 30%: Informs students of job, internship opportunities, and professional development resources. Supports U.S.-based summer field practicum component by communicating with students and contributing to preparation sessions and materials. Maintains accurate and updated records of all student internship placements, including credit requirements, scope of work, deliverables, supervisor evaluations, and prepares relevant reports. Maintains record of students' deliverables, timesheets, supervisor evaluations, and practicum. Program Operations, Assessment, and Reporting 15%: Ensures optimal MDP team functioning, coordinates and facilitates staff meetings and retreats, ensuring documentation and assignment follow-up of action items. Analyzes all evaluation processes (orientation, courses, mentorship, internships, etc.), synthesizes and communicates feedback to the team to foster improvement and innovation. Maintains and updates database of MDP alumni employment and contact information. Aligns team actions with calendars, milestones, and virtual workspaces. Assists with coordination of program events, workshops, presentations, and visitors. Provides additional programmatic support as needed. Student Engagement and Support 15%: Assists in maintaining the mentorship program. Directs students to appropriate university resources, including academic support, professional development, and student well-being services. Provides ongoing academic advising to students throughout the academic year, including guidance on program requirements, course sequencing, and progress toward degree completion. Assesses individual and cohort-level student needs and develops a repository of program and researched local community-based resources to support and promote student well-being and success. Communications, Recruitment, and Admissions 10%: Assists in onboarding new cohorts, including gathering student data and orientation activities. Oversees organization of admission events and student campus visits, as needed. Represents the program at academic and career fairs and other outreach events to promote the program, engage prospective students, and provide information about admissions requirements and program opportunities. Assists with updating and distributing recruitment and promotion materials, including program presentations, email communications, and informational resources.

Requirements

  • A bachelor's degree in the school's or program's area of specialty or a related field and one year of experience in student admissions, registration, financial aid or related field or an equivalent combination of education, training and experience.
  • Previous experience with various personal computer software applications.

  • Bachelor’s degree in Education, Public Administration, or related field OR a High School Diploma/GED and a minimum of four years of relevant experience.
  • Ability to lift and transport materials and supplies weighing up to 15lbs for program events and activities.
