About The Position

Coordinate and perform academic administrative and operational functions within the Office of the University Registrar, with primary responsibility for enrollment services and academic scheduling. Support registration, enrollment verification, transcript processing, academic scheduling, records integrity, compliance, system assurance, reporting, and cross-campus communication. Ensure compliance with university policies, state and federal regulations, including the Family Educational Rights and Privacy Act (FERPA). Serve as a liaison on behalf of administrative staff with students and others within and outside the university. Reports to designated supervisor.

Requirements

  • Bachelor's degree plus one year of experience in a registrar's office or related area.
  • Associate's degree plus three years of experience in a registrar's office or related area.
  • Five years of progressively responsible experience in a registrar's office or related area.
  • Knowledge of Family Educational Rights and Privacy Act (FERPA)
  • Knowledge of Ohio Revised Code 3333.1.10 and criteria created by Ohio Board of Regents
  • Knowledge of University, state and federal policies and procedures
  • Skill in written communication and interpersonal skills
  • Skill in providing excellent customer service
  • Skill in utilization of Microsoft Office Suite and other applicable software
  • Skill in identifying discrepancies

Responsibilities

  • Provide subject matter expertise in registrar services, policies, and processes.
  • Provide guidance to team members, assist supervisors with workflow planning and prioritization, and support cross training across multiple service areas.
  • Collect, analyze, research, prepare, and process academic records and documentation in accordance with university, state, and federal policies and procedures.
  • Collaborate with administrative offices and academic departments to ensure accurate, consistent academic data while providing effective registration and enrollment services support through clear communication.
  • Assist in the development, implementation, and maintenance of standard operating procedures.
  • Create and generate reports for internal staff and university departments; identify and resolve reporting or processing issues as needed.
  • Assist with testing of functionality and database preparation for system implementations and university-wide system upgrades and maintain documentation to support external audits.
  • Serve on departmental, divisional, and university committees as assigned.
  • Perform related duties as required.
  • Coordinate development of the Schedule of Classes.
  • Create, revise, and maintain course sections; correct errors; and provide troubleshooting support related to section management and system functionality.
  • Assist academic departments and regional campuses with course scheduling activities, including section entry and user support.
  • Utilize the space management system to ensure compliance with classroom utilization standards and space guidelines.
  • Process time and room change requests and resolve scheduling issues related to instructional and location needs.
  • Evaluate student eligibility; perform actions in processing supporting state subsidies and credit/refund determinations; and ensure academic data accuracy through research, document review, verification, and resolving discrepancies relating to residency applications, registration exceptions, enrollment verifications, Selective Service compliance, academic record updates, and student biographical changes.
  • Provide responsive customer service; ensure quality control for enrollment letters and transcripts; and scan and index documents in the document imaging system.
