About The Position

The Academic Advisor creates a supportive environment that promotes the academic, social, and individual development of elementary students and their families. The role provides academic guidance and referrals to Tribal members and other AI/AN students in the Willamina and Sheridan School Districts. It monitors early academic growth, identifies learning or attendance barriers, and coordinates support plans for students in Kindergarten through 5th grade. The position works directly with students, families, school staff, leadership, and Tribal departments to support the holistic academic success of Indigenous youth. The Advisor builds relationships with assigned students and their parents or guardians; maintains detailed academic records; facilitates and monitors academic coaching; and works with school and community partners to plan, implement, and evaluate interventions. The role includes weekly student meetings, collaborative home visits, participation in student-support meetings, coordination of academic and social development services, and referral to community resources. It also supports youth events, extracurricular and cultural activities, tutoring, transportation when needed, and facility upkeep. The position requires a bachelor's degree, preferably in Education, Counseling, Guidance, Social Work, or a related field, and at least two years of directly related experience working with students and educational institutions, plus two years of supervisory experience, or an equivalent combination of education, training, and experience. A master's degree is preferred. First Aid/CPR certification is required or must be obtained within 60 days of hire. A valid Oregon Driver’s License and proof of personal vehicle insurance may be required for work-related driving. Candidates are subject to criminal and character background checks and may be subject to fingerprinting.

Requirements

Bachelor's degree required, preferably in Education, Counseling, Guidance, Social Work, or a related field, or an equivalent combination of education, training, and experience.
At least two years of directly related work experience with students and educational institutions, or an equivalent combination of education, training, and experience.
At least two years of supervisory experience, or an equivalent combination of education, training, and experience.
First Aid/CPR certification required, or must be obtained within 60 days of hire.
Excellent verbal and written communication skills.
Demonstrated knowledge and proficient use of Microsoft Suite.
Ability to relate well with youth of diverse ages, backgrounds, and abilities.
Knowledge of Special Education processes and IEP qualifications and development.
Ability to relate professionally with parents, teachers, and administrators.
Knowledge of and sensitivity to Native American culture.
May be required to maintain a valid Oregon Driver’s License, meet company vehicle insurance requirements, and provide proof of personal vehicle insurance for work-related driving.

Responsibilities

Establish positive, long-term relationships with assigned students and their parents or guardians.
Maintain detailed, current academic records, including contact information, attendance, grades, test scores, academic support plans, and applicable IEPs and 504 plans.
Facilitate academic coaching requests and assign students to appropriate staff.
Lead regular team-member staffing meetings to ensure effective academic coaching support.
Collaborate with Youth Education staff, school leadership, students, families, and other partners to implement interventions and monitor and evaluate student progress.
Meet weekly with students, monitor grades, and confirm students remain engaged in academics and online learning and are on track with graduation requirements.
Conduct collaborative home visits and work with parents and guardians to develop actionable academic plans.
Participate in district student-support meetings, including MDT, IEP and 504, and Care Team meetings, as directed or requested.
Coordinate with Willamina and Sheridan School Districts to provide extracurricular academic and social development services at district facilities.
Assist with coordination between the WSD Tribal Attendance Promising Practices (TAPP) team and the Youth Education Department.
Assist with coordination between the Title VII Indian Education Program and the Tribal Youth Education Program.
Ensure participants in Youth Education Department events follow conduct rules and policy requirements.
Comply with standards and policies in the CTGR Employee Handbook.
Ensure effective tutoring services are conducted.
Connect students and families with resources such as mental health services, adult education, social services, food banks, and other community agencies.
Collaborate with Behavioral Health, Youth Empowerment and Prevention, Culture, Enrichment, and other Tribal departments on youth-centered events, extracurricular and cultural activities, and trips.
Provide student transportation to academic sessions, off-campus trips, and other activities as necessary.
Assist in maintaining a clean facility.
Perform other duties assigned by the supervisor.
Ensure hiring, training, promotion, assignment, discipline, and discharge of employees comply with Tribal Law, including TERO.
Ensure staff adherence to policies, procedures, work and safety rules, administrative rules, Tribal Law, and State Regulations.
Serve as a mentor for Tribal career development when requested.
Support a safe work environment and perform duties in accordance with Tribal safety policies, procedures, and the Emergency Management Plan.
Serve as a Disaster Reservist during emergencies when called upon.
