About The Position

Ontra is seeking a Workplace Experience Manager to join our Employee Experience (EX) team. The EX team is on a mission to elevate and promote the employee journey by curating a purpose-built workplace through meaningful experiences, dedicated retention efforts, and a culture of belonging. As a member of the EX team, you'll collaborate on initiatives across various workstreams, including Workplace & Real Estate, Internal Events & Team Gatherings, Internal Communications, and New Hire Onboarding. This role blends office management, event coordination, communications, and cultural stewardship. You will be responsible for maintaining a welcoming, efficient, and fun remote-first working environment that supports productivity, collaboration, and Ontra's core values. Ontra is a remote-first company, offering employees the flexibility to work from where they are most effective. However, this role will require the ability to travel approximately 2-3 times per quarter for company events, office visits, and gatherings. Requirements

  • Workplace expertise: A minimum of 3+ years of experience in Workplace Experience or Facilities Management, with a demonstrated focus on designing and implementing strategies that significantly enhance the employee experience in a remote-first environment.
  • Project management: Proven experience managing projects from initiation to completion and collaborating with diverse stakeholders.
  • Data-focused: Strong analytical and problem-solving skills with a data-driven and research-oriented mindset, including the ability to analyze ROI.
  • Ownership mentality: Assumes an ownership mentality and can independently drive on projects while also handling change and conflicting priorities as business needs adjust.
  • Flexibility: Ability to think out of the box, test boundaries, and ask thought-provoking questions to build appropriate strategies and communications that align with business objectives.
  • Travel: Ability and flexibility to attend company off-sites and conduct office visits. Estimated at 2-3 times per quarter, sometimes more.
  • Technical acumen: Proficiency with project management tools (e.g., Asana, Slack) and Microsoft Office Suite (Excel - intermediate proficiency).
  • Teamwork-oriented: Exceptional collaboration and interpersonal skills, with the ability to communicate effectively with diverse stakeholders at all levels.

Responsibilities

  • Drive the development and execution of a comprehensive workplace strategy, including the creation of remote-first working norms (How We Work), stipends, and management of Ontra's 3+ office spaces.
  • Oversee the day-to-day tactical operations for all office spaces, including managing vendor partnerships (e.g., WeWork/Kiva), office access, and visitor management systems.
  • Collaborate with senior leadership on strategic space planning, including office moves, renovations, and infrastructure enhancements.
  • Manage relationships with local third-party service providers, including food services, security, and janitorial, to ensure high-quality service and operational continuity.
  • Lead and manage the planning, execution, and evaluation of high-impact local (Gravity Gatherings, Incremental Team Travel, Local Loops) and virtual employee events (Surprise & Delight events, Hack Day) that meet budgetary guidelines and foster culture.
  • Drive employee engagement through strategic internal communications. This includes developing content, managing channels, and facilitating feedback mechanisms to ensure employees are informed, connected, and aligned.
  • Develop and manage a strong communication strategy on all levels to ensure cohesive stakeholder engagement, sharing any process change, service enhancement, or workplace-related impact.
  • Own and facilitate the new hire onboarding process to ensure employees feel welcomed, prepared, and connected from day one.
