About The Position

Hubble Network is building a global Bluetooth® network for machine-to-machine connectivity, aiming to be the first billion-endpoint-connected network. We are an early-stage, venture-backed startup seeking talented individuals to join our team. We are looking for a resilient, high-ownership Workplace Experience Manager to ensure our HQ and Warehouse/Lab run seamlessly and to continuously elevate the standard of our workplace. This role is a blend of service and strategy, acting as the primary point of contact for employees and the owner of how the workplace operates, including building systems and shaping a positive workplace culture. You will sit at the intersection of Operations, People, and Facilities, partnering with Operations leadership and acting as a force multiplier for the organization. The ideal candidate is highly organized, action-oriented, emotionally intelligent, and thrives in fast-paced, high-change environments, adept at switching between strategic and hands-on tasks. You take full ownership, move fast, and have a relentless get-it-done mentality.

Requirements

  • 5+ years of experience in workplace management, facilities, or office operations, with at least 2 years in a role with strategic or managerial scope.
  • Experience working in a high-growth startup environment.
  • Demonstrated budget ownership experience: you've built a budget, tracked it, and made trade-off decisions.
  • Proven experience leading office move-outs, move-ins, and ground-up build-outs: you’ve managed construction timelines, coordinated contractors and vendors, and delivered a workspace on time and on budget.
  • Track record of building and developing teams: you lead by example, invest in the people around you, and raise the bar for everyone.
  • Strong vendor management capabilities: negotiation, SLA management, performance accountability.
  • Exceptional communication and stakeholder management. You adapt your style for different audiences, present confidently to Operations leadership, and communicate with warmth and clarity to the broader team.
  • High EQ: You build genuine relationships across all levels of the organization, navigate ambiguity with composure, and bring people along through change.
  • Systems builder mindset: you identify gaps, design solutions, document processes, and train others; you make things better and make them stick.

  • High proficiency with Google Suite, Slack, Jira, Trello, Confluence, and an aptitude for adopting new operational tools quickly.
  • Experience with Project Management Tools
  • Absolute discretion and professionalism when handling sensitive company, personnel, or investor information.
  • Ability to be hands-on when needed, including lifting up to 50 lbs, operating in a warehouse environment, and managing physical workplace tasks.
  • Must be a U.S. citizen, lawful permanent resident (“green card holder”) as defined by ITAR (22 CFR §120.15).

Responsibilities

  • Serve as the primary point of contact for all office and warehouse operations matters, from hands-on daily execution to long-horizon strategy, ensuring peak efficiency across both locations.
  • Own the workplace and warehouse operations end-to-end: space planning, vendor ecosystems, inventory operations, and employee experience programs.
  • Present recommendations to Operations leadership backed by clear business cases.
  • Support Ops Leadership in building and scaling the operational infrastructure that supports Hubble's headcount growth, multi-location expansion, and cultural evolution.
  • Design, implement, and continuously improve scalable processes and systems that work seamlessly across multiple locations, ensuring consistency, efficiency, and resilience.
  • Shape and protect Hubble culture; designing experiences, rituals, and environments that make people proud to come to work and energized to do their best.
  • Define and elevate the Hubble experience for employees, visitors, Investors, and board members, setting a standard that reflects the quality and ambition of our brand.
  • Drive cross-functional operations initiatives in partnership with Finance, People, and Engineering leadership.
  • Ensure peak operations for HQ and warehouse, and implement preventive measures for potential issues.
  • Implement and continuously refine policies, procedures, and operational workflows.
  • Coordinate internal and external resources and cultivate relationships with vendors.
  • Co-lead space planning and capacity strategy for HQ and any future Hubble locations, anticipating needs 6–18 months out and translating headcount plans into workspace solutions.
  • Lead and manage office moves, move-outs, and fresh build-outs from end to end, including construction coordination, contractor management, space design input, IT infrastructure planning, and seamless move-in execution.
  • Develop and maintain scalable, well-documented workplace policies, SOPs, and emergency protocols across all Hubble locations, ensuring operational standards are consistent, repeatable, and built to grow with the company.
  • Manage and continuously evolve a vendor ecosystem across facilities, cleaning, food & beverage, security, and more; negotiating contracts, holding partners accountable to SLAs, and continuously evaluating market alternatives.
  • Manage office supplies and equipment, including ordering and inventory management.
  • Be hands-on and proactive, receive and distribute deliveries, manage drinks/snacks, coordinate team lunches, and oversee all maintenance needs.
  • Manage all facilities maintenance and repair requests, ensuring issues are resolved quickly.
  • Oversee vendor relationships for all office-related services (ex., pest control, cleaning services, and maintenance support).
  • Own the operational side of contract and NDA management; tracking agreement status, coordinating signatures, and maintaining organized records.
  • Handle facilities-related emergency communication and response protocols.
  • Cascade office information to the Hubble team regarding visitors, maintenance, policies, etc.
  • Drive process improvements in workplace operations, optimizing workflows for efficiency.
  • Provide general troubleshooting support to staff for office-related issues.
  • Cascade critical operational information company-wide in a timely, clear, and professional manner.
  • Co-own warehouse operations alongside the Lab Manager: inbound receiving, organized storage, outbound fulfillment, and cross-functional coordination with hardware, engineering, and supply chain teams.
  • Ensure HQ and warehouse safety compliance: maintain a clean, organized, OSHA-aligned environment and enforce safety protocols for all staff.
  • Act as a culture steward; intentionally design the physical and programmatic environment to reflect Hubble's values, energy, and ambition.
  • Take ownership of the existing visitor experience — from arrival to departure — creating a polished, welcoming environment for employees, investors, board members, candidates, and partners.
  • Build and sustain the programs and rituals that make Hubble feel like a place people want to be: all-hands logistics, onboarding day experiences, team celebrations, wellness initiatives, and moments of recognition.
  • Support the Executive Assistant in planning company events, including team dinners, happy hours, and off-sites.
  • Partner closely with People/HR to align the physical workplace with the full employee lifecycle, from a candidate's first visit to a new hire's first week to long-tenured team members feeling seen and supported.
  • Establish feedback loops: surveys and leadership check-ins to continuously measure and improve workplace satisfaction.
  • Be hands-on and proactive: receive and distribute deliveries, manage snacks and beverages, coordinate team lunches across locations, and stay ahead of all day-to-day facility needs.
  • Build and sustain programs and rituals that strengthen culture — all-hands logistics, onboarding day experiences, team celebrations, and amenity or wellness initiatives.
  • Provide general troubleshooting support to staff for office-related issues; cascade operational updates in a timely, clear, and professional manner.
  • Manage candidate interview logistics, room scheduling, and hospitality, ensuring every candidate leaves with a great impression of Hubble.
  • Be a dependable project owner for company-wide operational initiatives that touch the employee experience.
  • Partner with the broader Operations team on ad hoc projects and strategic priorities.
  • Act as an informal mentor and on-site resource for junior team members and new hires, helping people navigate how things work at Hubble and modeling the standard for ownership, collaboration, and follow-through.
