About The Position

Clio is seeking a Workplace Experience Coordinator to join their Workplace Experience team. This role is based in Burnaby and requires a Monday-Friday in-office presence. The Burnaby Workplace Experience Coordinator will be the primary point of contact for daily workplace experience operations in the Burnaby hub. The ideal candidate is highly organized, proactive, service-oriented, and skilled at connecting with people and anticipating needs. This position is suited for someone who excels in a fast-paced, in-office setting, takes pride in maintaining a welcoming and efficient workplace, and enjoys being a reliable resource for employees, visitors, and partners. The role requires energy, professionalism, and meticulous attention to detail, with an opportunity for skill development within a collaborative, people-focused team.

Requirements

  • 1-3 years of experience in office coordination, workplace experience, facilities, hospitality, and operations.
  • Strong organizational and time-management skills, with the ability to manage and prioritize multiple tasks in a fast-paced environment.
  • Excellent communication and interpersonal skills, with a service-oriented and professional approach.
  • Comfortable working onsite and being a visible point of contact for employees, guests, and vendors.
  • Ability to identify issues proactively, follow through on solutions, and escalate appropriately.
  • Experience using workplace tools and systems (Google stack, Slack, ticketing systems, expense tools, or similar).
  • A high level of attention to detail and pride in creating welcoming, well-run spaces.
  • Demonstrate a keen interest in improving your craft by using AI.

Nice To Haves

  • Previous experience in a tech, startup, or high-growth company environment.
  • Familiarity with access control systems, visitor management tools, or AV/meeting room technology.
  • Exposure to workplace safety programs or compliance documentation.
  • Experience in supporting events or on-site activations.
  • First Aid certification (or willingness to obtain).

Responsibilities

  • Manage front office operations and reception, including visitor and employee sign-in, access systems, mail handling, and shipping/receiving.
  • Orient new employees and guests to the office space through tours and wayfinding.
  • Maintain office spaces, ensuring they are well-stocked, clean, and welcoming, including light cleaning of communal areas.
  • Identify facility issues, coordinate repairs, and monitor their status.
  • Support regular facility inspections, maintain inspection records, and coordinate with building services for repairs.
  • Assist with the planning, coordination, and communication of internal and external events, such as company meetings, mixers, parties, and team socials.
  • Collaborate with cross-functional teams (People, IT, OCEO) to ensure workplace policies and programs align with business objectives.
  • Conduct regular facility inspections to ensure operational status of mechanical, electrical, and structural systems.
  • Support physical security by ensuring security systems are operational, managing access badges, and liaising with IT/Security.
  • Assist with OH&S program coordination and record maintenance.
  • Support workplace technology systems, including AV equipment and video conferencing.
  • Liaise with vendors for food & beverage, social events, and office supplies.
  • Track and process workplace experience expenses using internal software.
  • Collect and maintain data to measure the effectiveness of workplace experience programs.
