About The Position

Global Relay is seeking a highly organized and proactive Workplace & Events Coordinator to support the effective operation of their New York office. This role reports to the Office Manager and involves coordinating workplace services, facilities support, vendors, meetings, visitors, and office-based events. It is a hands-on position requiring strong judgment, attention to detail, and the ability to anticipate needs and manage changing priorities as the office grows.

Requirements

  • 2-4 years of experience in workplace operations, office coordination, facilities support, event coordination, hospitality, or a related corporate environment
  • Strong organizational and prioritization skills, with the ability to manage multiple workstreams and follow through reliably
  • Excellent judgment, attention to detail, and a practical, solutions-oriented approach
  • Clear and professional communication skills, with confidence working across employees, senior leaders, visitors, vendors, and building partners
  • Experience coordinating meetings, vendors, catering, or office-based events, and proficiency with Microsoft Office

Responsibilities

  • Support the day-to-day operation of the office, ensuring workplace services, shared spaces, supplies, and facilities needs are coordinated effectively
  • Coordinate with building management and external vendors to support maintenance, service delivery, purchasing, and other workplace requirements
  • Manage the logistics for meetings, visitors, and approved office-based events, including space, catering, vendors, access, setup, and on-site coordination
  • Maintain workplace and event calendars, operational records, invoices, vendor documentation, and other information with accuracy and consistency
  • Support office moves, seating changes, workspace readiness, and other workplace projects as business and capacity needs evolve
  • Partner with HR, IT, Finance, Security, Legal, and other teams on workplace-related requirements, while identifying issues, anticipating needs, and escalating risks appropriately
  • Perform administrative duties such as phone operation including handling telephone calls and relaying messages to appropriate departments or individuals
  • Perform administrative duties in SalesForce CRM software such as data entry, client file updates, and ensuring data accuracy
  • Perform administrative duties through Outlook using scheduling assist
  • Prepare appropriate agendas for meetings and ensure necessary actions are taken to prepare for client meetings in the office
