About The Position

This role is responsible for the daily operation of the San Francisco office, ensuring it is ready for opening, maintaining workplace standards, managing supplies, food and beverage programs, mail, visitors, and conference rooms. It also involves supporting the Charleston office virtually, managing shipping and logistics for IT equipment in partnership with IT, and overseeing company swag from design to distribution. The manager will be the main point of contact for the landlord, building management, and workplace vendors, managing contracts, and ensuring a safe, functional, and welcoming environment. This includes coordinating office access, visitor protocols, seating plans, and communications. The role requires building scalable office procedures, tracking spending, reconciling invoices, and supporting emergency preparedness. Additionally, the position will organize executive offsites and all company events, partnering with Marketing on logistics for events and conferences. This involves translating event goals into plans covering venue selection, travel, lodging, catering, programming, accessibility, production, communications, budgets, and contingency planning. The role also focuses on building and reinforcing company culture for a remote team, leading recognition, celebrations, and engagement on Slack, shaping all-hands meetings, and creating rituals to keep remote employees connected. It involves designing virtual and in-office experiences that strengthen connection, belonging, recognition, and collaboration, and supporting the workplace aspects of onboarding and offboarding. The manager will coordinate employee milestones, team lunches, customer visits, and recruiting days, maintaining clear communications about workplace and event happenings. The role requires acting as a trusted, service-minded resource, applying policies consistently, and identifying and proposing solutions for friction in the employee experience.

Requirements

  • 4+ years of experience in workplace operations, office management, employee experience, events, hospitality, or a related role; startup or high-growth experience is strongly preferred.
  • Experience building culture and engagement for remote or distributed teams.
  • Demonstrated experience planning complex events, offsites, or conferences with multiple vendors, stakeholders, schedules, and budget constraints.
  • Strong project-management skills and a record of carrying work from an ambiguous request through final execution and follow-up.
  • Excellent written and verbal communication, with the judgment to tailor information for employees, executives, vendors, candidates, and guests.
  • Experience managing budgets, invoices, vendor relationships, and contract workflows.
  • High attention to detail without losing sight of the broader employee or business outcome.
  • Comfort using workplace, productivity, expense, and event-management tools, and a willingness to learn and automate repeatable workflows.
  • The ability to stay calm, adaptable, and focused on the fix when priorities or plans change quickly.
  • Sound judgment and discretion when handling confidential employee, executive, or company information.
  • The ability to perform the essential functions of this role, including moving throughout the office, setting up spaces, and occasionally moving workplace or event materials, with or without reasonable accommodation.

Responsibilities

  • Own the daily operation of the San Francisco office, including opening readiness, workplace standards, supplies, food and beverage programs, mail, visitors, conference rooms, and shared spaces.
  • Support the Charleston office on a virtual basis, coordinating supplies, vendors, events, and other on-the-ground needs.
  • Manage shipping and logistics for laptops and IT equipment, including inbound and outbound shipments for new hires, departures, repairs, and replacements, in partnership with IT.
  • Own company swag, including design coordination with Marketing, vendor sourcing, inventory, and distribution to employees, new hires, events, and customers.
  • Serve as the primary point of contact for the landlord, building management, workplace vendors, and service providers.
  • Manage workplace vendors and contracts, including sourcing, scheduling, service-quality reviews, renewals, and issue resolution.
  • Maintain a safe, functional, secure, and welcoming workplace in partnership with People, IT, Finance, and building management.
  • Coordinate office access, visitor protocols, seating plans, equipment logistics, and workplace communications.
  • Build practical office procedures, inventories, calendars, checklists, and service standards that can scale as the team grows.
  • Track workplace spending, reconcile invoices, manage purchase requests, and identify opportunities to improve quality or cost.
  • Support emergency-preparedness practices, workplace notices, and health and safety coordination.
  • Organize executive offsites and all company events, including team gatherings, leadership meetings, celebrations, and multi-day offsites, from concept through post-event review.
  • Partner closely with Marketing on events and conferences, owning logistics such as booth and travel coordination, shipping, vendors, and on-site support.
  • Translate event goals into clear plans covering venue selection, travel, lodging, catering, programming, accessibility, production, communications, budgets, and contingency planning.
  • Create detailed project plans, run-of-show documents, attendee communications, vendor briefs, and decision timelines.
  • Partner with leaders and cross-functional stakeholders to design experiences that reinforce company strategy, values, and culture.
  • Manage event and offsite budgets, negotiate with vendors, track commitments, and reconcile final costs.
  • Gather feedback and use participation, budget, and experience data to improve future programs.
  • Build and reinforce company culture across a remote team as our virtual cheerleader: lead recognition, celebrations, and engagement on Slack, help shape all-hands, and create rituals that keep remote employees connected.
  • Design thoughtful experiences and rituals, both virtual and in-office, that strengthen connection, belonging, recognition, and collaboration.
  • Support the workplace elements of onboarding and offboarding, including equipment shipping, desk readiness, access coordination, welcome moments, and equipment returns, in partnership with People and IT.
  • Coordinate employee milestones, team lunches, customer visits, recruiting days, and other high-touch moments.
  • Maintain clear workplace and event communications so employees know what is happening, why it matters, and what is expected of them.
  • Act as a trusted, service-minded resource while applying policies consistently and protecting confidential or sensitive information.
  • Identify friction in the employee experience and propose practical, scalable fixes rather than waiting for direction.
