About The Position

This position as a Workflow Manager supports the Air Force Civil Engineering Directorate (A4C). The role involves coordinating with various A4C Division Chief leadership to keep necessary stakeholders informed about the status of tasks. The Workflow Manager will provide detailed updates in weekly A4C Workflow meetings and participate in quarterly AO training and other mandatory training sessions required for contract personnel. This role requires providing administrative support to AF/A4C Divisions, including task/suspense management, coordination, quality assurance, validation of task responses, and assigning tasks. The Workflow Manager will also analyze data to identify trends, report on completion statistics and task status, and document aggregate support to senior leadership. Additionally, the role involves executing record and file management actions in support of AF/A4C’s record management program.

Requirements

  • Bachelor’s degree and a minimum of 2 years’ administrative experience.
  • Knowledge of AF CE programs and DoD technical writing experience.
  • Secret clearance required.
  • Must be proficient in English, both written and verbal, to ensure effective communication and collaboration.
  • Successful results of preemployment screenings, including federal background check, MVR, and drug screen.
  • Comply with company drug and alcohol policy.
  • Be authorized to work in the US or will be authorized by the successful candidate’s start date.

Responsibilities

  • Provide detailed updates to the WFM Support Team in weekly A4C Workflow meetings and keep Branch and Division leadership and stakeholders appraised on the status of tasks.
  • Participate in quarterly AO training and other mandatory training sessions required for contract personnel.
  • Provide detailed updates to leadership and stakeholders by participating in meetings/forums and coordinating, consolidating, developing, and delivering/presenting associated meeting materials (e.g., slides, after action reports, minutes).
  • Provide administrative support to the AF/A4C Divisions by providing task/suspense management, coordination and quality assurance and control of task responses and task packages, validating completeness/accuracy of task response (e.g. was the question answered?, and was it in the right format?), assigning tasks IAW Division leadership to Division AOs, and coordinating initiator tasks to the A4C Overall Workflow lead for direction to SAF, other HAF offices, AF/A4C, AFIMSC, AFCEC, MAJCOMs and other external stakeholders.
  • Answer stakeholder inquiries regarding task development, the system of record, etc. relative to the task management database(s).
  • Drive coordination and collaboration between Action Officers and across Divisions.
  • Maintain and manage Branch or Division trackers for task management database(s) tasks assigned to Divisions.
  • Provide associated database training.
  • Archive database records.
  • Provide technical support to Division leaders, AOs and stakeholders.
  • Support executive services requests for AF/A4C and personnel.
  • Analyze data to show current and historical trends, reporting, completion statistics, task status, and breakout by Division, and document aggregate support to senior leadership by Division.
  • Execute record and file management actions for A4C Divisions in support of AF/A4C’s record management program.
