About The Position

The Workers’ Compensation Coordinator is responsible for managing all aspects of Florida workers’ compensation cases within the orthopedic practice. This role ensures timely authorization of services, accurate documentation, effective communication among stakeholders, and strict adherence to Florida’s Workers’ Compensation laws (Chapter 440, Florida Statutes) and Division of Workers’ Compensation (DWC) guidelines. The coordinator supports physicians, injured workers, employers, adjusters, nurse case managers, and attorneys to facilitate seamless care and efficient claim processing. This position has unrestricted access to protected health information (PHI) pertaining to patients.

Requirements

  • High School diploma or GED required
  • Minimum of 2 years workers compensation or related medical office experience
  • Ability to perform essential duties
  • Knowledge of medical insurance and billing
  • Ability to document accounts clearly
  • Computer Literate – Windows environment
  • Knowledge of medical terminology
  • Strong organizational skills
  • Ability to perform basic mathematics
  • Ability to clearly communicate written and verbal instructions
  • Ability to efficiently manage multiple tasks and prioritize
  • Ability to demonstrate proper telephone etiquette and computer skills

Responsibilities

  • Receive calls and inquiries regarding WC patient appointments utilizing excellent customer service skills
  • Obtain authorized signatures on appropriate fee agreements for initial appointments and/or procedure(s); negotiate fees when necessary and appropriate
  • Communicate with patients, WC carrier, attorney, and employers within a timely manner of appointment
  • Schedule appointment within system and document all necessary notes in system
  • Obtain and review prior medical records and/or films as appropriate for appointment
  • Review patient information with physicians as necessary
  • Continuously utilize great customer service/marketing skills to generate new patients and new service referrals
  • Review DWC-25 form for accuracy and completeness and forward along with office notes to WC carrier
  • Assist with marketing and organized events
  • Coordinate patient’s care between physicians, nurse case manager, adjusters and third party management companies
  • Responsible for promoting the Standards of Excellence for Orthopedic Specialists while demonstrating courteous and cooperative behavior toward patients, visitors, volunteers, peers and physicians
  • Maintain a neat and orderly work environment, demonstrates the ability to organize and prioritize work during heavy workload situations to expedite patient care
  • Maintain strictest confidentiality in accordance with HIPAA compliance
  • Perform quality work within deadlines with or without direct supervision
  • Work effectively as a team contributor on all assignments
  • Work independently while understanding the need to communicate and coordinate work efforts with other employees and organizations
