About The Position

Serves patients by coordinating appointments, assisting technologists and radiologists, maintaining medical records and accounts, and personally seeing to the care and comfort of the Women’s Imaging patients.

Requirements

  • High school graduate or equivalent.
  • Experience with basic personal computer operations.
  • Ability to communicate and read in English.

Responsibilities

  • Acquires and coordinates prior outside and HVI studies for comparison. Coordinates with St. Luke’s Hospital and other facilities to obtain needed images and reports.
  • Uploads prior images as needed.
  • Links prior digital images and reports with current study for comparison, in a timely manner.
  • Coordinates exam appointments as to eliminate schedule conflicts.
  • Initiates contact with physicians to address any questions or concerns regarding orders.
  • Acquires missing prescriptions for biopsies, mammograms, or any other procedures from referring physician’s office.
  • Registers patients in an accurate and timely manner as to maintain patient appointment times and minimize patient wait times.
  • Provides data entry of patient BI-RADS, technologist exam statistics, and any other pertinent data into Omnicare tracking system.
  • Maintains detailed logs of patients requiring additional views and biopsies with final results.
  • Contacts all BI-RADS Category 0 patients by telephone within 24 hours of exam results, and schedules follow up examination. Generates and mails certified letter to category 0 patients unable to be contacted by telephone within 48 hours. Follows up via letter or telephone call one month later to unresolved category 0 patients.
  • Generates and mails Women’s Imaging patient result letter within 3 days of exam.
  • Generates and mails 6 month follow up and yearly follow up reminder letters one month prior to due date.
  • Generates and mails overdue 6 month and yearly follow up letters two weeks after due date.
  • Prepares paperwork for comparisons and addendums as priors become available.
  • Coordinates pre-biopsy paperwork and images for radiologist approval prior to day of procedure.
  • Schedules biopsy procedures.
  • Assists in organizing supporting documentation for mammography, stereotactic and ultrasound biopsies, and scans in patient’s chart when complete. Coordinate biopsy path reports and scans pathology reports in patient’s chart when received.
  • Upon completion of pathology result dictation, sends certified letter to patients with results and recommendations.
  • When prior exams have not arrived on time for additional view patients, takes appropriate measures to contact that patient to reschedule their appointment to correspond with the arrival of prior images.
  • Assures all mammography reads are completed within 24 hours for exams ready to be read, and 7 days for exams when priors have not arrived. To be coordinated with Administrative Director as needed.
  • When outside reports and images arrive post HVI dictation, the Assistant will gather and organize necessary materials and give to radiologist do addendum can be generated in a timely manner. Additional letter may be sent based on results.
  • Assures all inquiries from referring physicians’ offices are attended to in a timely, friendly, and accurate manner.
  • Attends to Medical Office Assistant duties as directed.
  • Stocks and replenishes supplies as needed.
  • Participates in continuous quality improvement activities as directed.
  • Attends and participates in staff meetings as required.
  • Maintains work area orderliness including changing area.
  • Schedules patient appointments and registers patients as needed.
  • Adheres to dress code requirements and standards.
  • Completes annual competencies and educational requirements.
  • Maintains patient confidentiality in compliance with the Health Insurance Portability and Accountability Act (HIPAA).
  • Wears identification badge while on duty.
  • Adheres to the organization mission, policy, ethics, cultural diversity, patient safety, and other related goals.
  • Promotes a culture of safety, teamwork, quality services, and customer satisfaction.
  • Exhibits a positive image and professional conduct, and is willing to adapt to changes in the institutional roles and needs.
