About The Position

The Wellness Coach Program Supervisor provides operational leadership for the Wellness Coach Program by overseeing the systems, compliance, administrative functions, and operational infrastructure that support high-quality service delivery across multiple school and community-based sites. While supervising a cohort of Wellness Coaches, this role ensures program operations are efficient, compliant, and aligned with organizational standards. The Program Supervisor applies a strong understanding of positive youth development, school-based programming, and trauma-informed practices to ensure operational systems effectively support staff, strengthen service delivery, and promote positive outcomes for youth. Working in close partnership with the Wellness Coach Service Supervisor, the Program Supervisor manages operational systems, documentation, scheduling, data reporting, financial processes, and program logistics while ensuring coaches have the tools, resources, and administrative support needed to deliver exceptional services.

Requirements

  • Bachelor’s degree in Education, Social Work, Psychology, Human Services, Public Administration, Business Administration, or a related field, or equivalent experience.
  • Minimum of 4–6 years of experience supporting youth-serving, educational, behavioral health, or community-based programs.
  • Working knowledge of positive youth development, trauma-informed practices, and school-community partnerships.
  • Strong interpersonal and communication skills
  • Ability to remain calm and make safe decisions in high-pressure situations
  • Capacity to work effectively in a fast-paced environment
  • Ability to learn, retain, and apply principles taught in training and supervision
  • Ability to stand, walk, and run for extended periods, perform frequent bending, stooping, stretching, lifting, sitting, stairs, typing, and looking at a computer screen
  • Strong written and verbal communication skills and computer experience
  • Ability to meet deadlines and follow through with multiple projects simultaneously
  • Ability to work flexibly and collaboratively as part of a team
  • Successfully complete all background check suitability requirements

Responsibilities

  • Directly supervise approximately 10–15 Wellness Coaches.
  • Conduct regular individual supervision focused on operational performance, accountability, and administrative expectations.
  • Complete performance evaluations and address performance concerns related to operational responsibilities.
  • Lead operational implementation across all assigned service sites.
  • Develop, implement, and continuously improve operational workflows.
  • Coordinate scheduling, logistics, and program resources to ensure efficient service delivery.
  • Apply principles of positive youth development and trauma-informed practice when developing operational systems and procedures.
  • Ensure operational processes support safe, equitable, and developmentally appropriate services for youth.
  • Collaborate with the Wellness Coach Service Supervisor to align operational infrastructure with evidence-informed youth development practices.
  • Support implementation of social-emotional learning, wellness, and youth engagement initiatives through effective operational planning.
  • Ensure compliance with organizational, contractual, and grant requirements.
  • Manage documentation, data systems, and reporting processes.
  • Maintain confidential records in accordance with organizational policies.
  • Coordinate quality assurance activities and operational audits.
  • Prepare documentation for monitoring and compliance reviews.
  • Lead recruitment, interviewing, and selection of Wellness Coaches.
  • Coordinate onboarding logistics and administrative processes.
  • Maintain program forms, manuals, templates, and operational resources.
  • Manage calendars, training logistics, and scheduling.
  • Coordinate internal communications and operational updates.
  • Manage Wellness Coach timesheets and payroll documentation.
  • Monitor program budgets and expenditures.
  • Coordinate purchasing and inventory management.
  • Manage vendor relationships and contracted services.
  • Assist with financial reporting and resource allocation.
  • Collaborate with Human Resources, Finance, Information Technology, Quality Improvement, and Walker leadership.
  • Partner with the Wellness Coach Service Supervisor to align operational systems with program implementation.
  • Identify opportunities to improve efficiency, consistency, and operational effectiveness.
  • Lead operational quality improvement initiatives.
  • Analyze performance metrics to identify opportunities for process improvement.
  • Recommend and implement operational innovations that strengthen program effectiveness.
