About The Position

Vancouver Coastal Health (VCH) is seeking a Wellness Analyst/Administrative Assistant to join the People Wellness team. This role involves tracking and invoicing for the People Health team, requiring advanced knowledge of Excel, attention to detail, and the ability to follow up with physician offices. The position also includes developing marketing materials and providing administrative support for Wellness activities. The work is framed within VCH’s commitments to Indigenous cultural safety, anti-racism, and diversity, equity and inclusion.

Requirements

  • Diploma in a related program plus three to four (3-4) years' recent, related experience in a complex health care environment with progressively more responsible administrative positions supporting senior level management, experience in information analysis and benchmarking, or an equivalent combination of education, training and experience.
  • Advanced computer skills in spreadsheet, database, graphics and word processing programs is required, e.g. Microsoft Excel, Access, PowerPoint, Word, and Visio.
  • Applies a basic understanding of Indigenous cultural safety and diversity, equity and inclusion frameworks, and a desire to learn more as it applies to this role.
  • Employs expertise in the use of desktop computer applications to create a variety of documents, reports and presentations, and to maintain databases.
  • Applies acquired skills and knowledge to efficiently and independently resolve administrative issues/problems.
  • Effectively utilizes both verbal and written communication skills when providing advice or information or seeking/acquiring information.
  • Optimizes departmental effectiveness and contributes to organizational success by applying excellent time management skills to prioritize and complete assignments and schedule activities.
  • Practices diligence and care when maintaining, monitoring, calculating and summarizing data, records and budget information.
  • Takes initiative and excels in taking the lead on various projects.

  • Experience in wellness programming initiatives, campaigns and activities is an asset.

Responsibilities

  • Provide analytical and administrative support to the People Wellness team for purposes such as coordination, administrative, and scheduling support for wellness initiatives; data analysis, statistical reporting, preparing and compiling legal reports and technical documents, utilizing various software and tools.
  • Provide confidential administrative and research support to the People Wellness team.
  • Coordinate and promote wellness initiatives and programs, including writing promotional material, presentations, and other communication activities.
  • Maintain the management team’s appointment calendars, coordinates meetings, processes and prioritizes information, screens, triages and acts upon requests and inquiries, including confidential and sensitive information.
  • Work independently and interface with other Directors, Managers and staff at all levels of the organization.
  • Effectively collaborate with other VCH departments such as Legal, People, and Decision Support teams and liaises on behalf of the department with external contractors, offices and agencies to coordinate the flow of information.
  • Ensure medical exam invoices are paid to physicians in a timely manner.
