About The Position

The Welcome Center Receptionist is responsible for providing high-quality customer service and administrative support as the primary point of contact for the Welcome Center and Central Administration offices. This role focuses on creating a welcoming and inclusive environment for families, students, and community members while efficiently managing incoming communications. Under the direction of the Director of Student Registration, the Receptionist assists families with school enrollment services and guides them through the pre-registration process for incoming students. Success in this role requires strong interpersonal skills, cultural proficiency, and the ability to provide clear, accurate information to a diverse community. This commitment aligns with Framingham Public Schools’ high expectations for achievement, equal access to quality instruction, academic proficiency for all students, and closing the achievement gap among subgroups within the schools.

Requirements

  • Bachelor’s Degree from an accredited college or university preferred.
  • Previous experience in office management, administrative support, or program coordination preferred.
  • Bilingual proficiency in Spanish and/or Portuguese is strongly preferred.
  • Strong oral and written communication skills; ability to present information clearly and respond effectively to questions from district staff, school administrators, the School Committee, and the broader community.
  • Sound reasoning and problem-solving skills to evaluate district-wide information, define problems, collect data, establish facts, draw valid conclusions, and recommend appropriate policies, procedures, or courses of action.
  • Capacity to read, analyze, and interpret professional literature, technical procedures, and governmental regulations to inform district-level policies, operational decisions, and strategic planning.
  • Ability to establish and maintain positive, effective cross-departmental working relationships with school leaders, district staff, community partners, and vendors.
  • Demonstrated cultural proficiency and competence in fostering an equitable and inclusive district environment for all staff, students, and families.
  • Maintain regular, predictable, and punctual attendance to ensure consistent district operations.
  • Exhibit professionalism and composure in responding to unpredictable or high-stakes situations, maintaining a proactive and solution-focused approach.
  • Strong organizational and project-management skills to work independently, prioritize district-level initiatives, and manage multiple complex projects simultaneously.
  • Ability to use complex data sets effectively to inform resource allocation, policy development, and continuous improvement efforts across the district.
  • Proficiency in using technology and enterprise software; ability to operate a computer and utilize systems relevant to district operations (e.g., Google Workspace, HR/Finance platforms, or Student Information Systems).
  • Commitment to performing all duties in compliance with state and federal laws, Framingham Public Schools policies, and collective bargaining agreements.
  • Ability to maintain strict confidentiality of sensitive personnel, legal, financial, and student information.

Responsibilities

  • Serve as the primary point of contact for all visitors to the Welcome Center and Central Administration, ensuring a professional and welcoming "on-stage" environment.
  • Manage high-volume communication channels, including answering, screening, and routing calls to the appropriate departments while offering language assistance as needed.
  • Respond to all telephone, email, and in-person inquiries with a high degree of professionalism, politeness, and responsiveness.
  • Coordinate with various offices and departments to announce and facilitate visitor arrivals.
  • Provide accurate and comprehensive information regarding Welcome Center services, district resources, and hours of operation.
  • Support the Human Resources Office by facilitating background check processes for volunteers, vendors, and contractors, including the direct verification of applicant identities and documentation.
  • Execute security protocols by digitally verifying visitor identification using district-designated systems to ensure a safe environment.
  • Maintain the reception area to the highest standards of cleanliness and organization to reflect the district’s professional image.
  • Coordinate the scheduling and confirmation of registration appointments, including making proactive reminder calls to families.
  • Collaborate effectively with Welcome Center staff to ensure seamless departmental operations and clear internal communication.
  • Facilitate the pre-registration process by guiding families through the completion of online enrollment forms and digital documentation.
  • Provide specialized outreach and technical support to families with limited technology proficiency, ensuring equitable access to district services.
  • Assist in breaking down barriers for diverse families by providing clear instruction and navigating language or technical hurdles during the intake process.
  • Other reasonable duties as assigned by the Director of Student Registration.
